West Midlands Veterinary Referrals is a small, friendly referral practice based in Burton on Trent. Our new state of the art hospital was opened in 2019 and we are proud to offer well equipped and high-quality facilities enabling us to provide the best care for our patients and clients. We welcome a very wide range of cases in Orthopaedics, Soft Tissue Surgery, Spinal surgery, and Medicine.

The Team:

You will be working alongside colleagues that are devoted to giving our clients and their beloved pets the best possible care and making every step of their journey with us a positive and memorable one.

Our Client Care Team are the first point of contact for Clients, Patients and Referring practices and they are extremely professional and highly skilled, this ensures all that come to us get a Gold level of service.

The Role:

We have an exciting opportunity to join our Client Care Team, we are looking for an individual who is passionate and can provide outstanding client care and give a wonderful and positive client experience. Our amazing Client Care Team ensure they are there for all of our clients, promptly and professionally answering their calls and emails and when the clients and their pets arrive in the practice they are greeted with a smile and have all their needs met throughout their stay with us.

The Team is dedicated to being friendly, positive and professional and are the heart of the practice.

The Client Care Advisor role is very varied, it consists of monitoring emails, making and receiving phone calls, booking appointments, taking payments, setting up pet insurance claims, assisting clients with any queries they have and above all giving attention and affection to all the patients that come to us.

The Client Care Team work Monday to Friday with no weekends or Bank Holidays.

Annual Salary - £12,022.50

Part Time – 20 hours a week. 3 Days a week. Times will vary between - 7:15am starts and 7:30pm finishes.

Key Responsibilities:

Ensuring all clients get a prompt and friendly welcome and the client journey is positive. Communicating with other departments on arrivals and managing any wait times. Being able to answer the phone in a courteous manner and assist clients with any queries or concerns. Converting over the phone and email referrals into bookings within 24 hours of receipt. Maintain strict GDPR protocols by handling registration documents with confidentiality and accuracy. Be familiar with Practice Policies and Procedures. Being able to guide Clients through any documentation. Deal with requests from all members of the Practice in a friendly manner. always Ensuring open communication.

Always maintain a professional work culture around the Practice. Have the ability to prioritise and multi-task with both Reception and Administration duties. Ensure good housekeeping is maintained on the front desk and Reception area.

To positively promote our services and products. To pro-actively communicate to clients any outstanding invoices and to be confident on payment taking through various channels. Through training and support have an understanding of pet insurance and the full processes it involves, knowing what to advise Clients on excesses and information needed to ensure a quick pre-authorisation. Embrace client feedback, being able to adapt or change for business needs. Play your part in the Client Care Team of promoting a harmonious and positive team culture.

Required Experience and Skills:

At least 12 months Client Care experience. IT Skills – Be confident in the use of Word, Excel and Outlook. GCSE in Maths and English. Excellent Attention to detail. Be Personable and Approachable. Sensitivity. Flexibility.

Desirable Experience and Skills:

Insurance Knowledge (preferably Pet) Client Care or Receptionist Qualifications. Knowledge of the Veterinary Industry. In-depth knowledge of Word, Excel and Outlook. IT Qualification.
