The Sr. Executive Assistant performs diverse, advanced and confidential administrative support functions including composing, signing and releasing routine but somewhat complex correspondence. Usually relieves management of administrative details; gathers, compiles and reports information relevant to/for department; may manage a number of different and often conflicting objectives, projects or activities at one time. Communicates with executives and line management to gather or convey relevant information.

Job Function Description: Provides client and project administrative support (e.g., calendar management, expense tracking and visitor greetings) for a department, group or executives to maximize organizational efficiency. Receives and responds to client and internal correspondence following established procedures. Work is focused on supporting individuals, small teams or departments including: document editing, proofing, formatting, and production. Identifies, enhances and follows specific processes and procedures to maximize efficiency of routine support tasks, equipment use and staff resources. Provides support activities to an office, business unit, department or other company group. Coordinates delivery of office and business support services.

Essential Functions/Responsibility Statements:

  • Schedules appointments; arranges meetings, conferences, and luncheons both onsite and offsite and keeps multiple electronic calendars up to date.
  • Answers and screens telephone calls; responds to routing questions, routes calls to appropriate personnel, and/or relay messages accurately.
  • Arranges travel itineraries for domestic and foreign travel, prepares travel documentation, prepare employee expense vouchers, and reconcile all expenses in a timely manner.
  • Makes purchases and reconciles items on Company Corporate card.
  • Schedules and attends various monthly meetings as requested.
  • Records and transcribes minutes of assigned meetings including senior leadership, subcommittees, etc.
  • Provides follow-up to meeting action items.
  • Provides administrative support as needed to senior team.
  • Coordinates travel arrangements for senior team as requested.
  • Coordinates of meeting logistics, presentations, etc. (Quarterly meetings, offsite retreats, etc.).

Education:

  • Bachelor's Degree or equivalent work experience in Business Administration or equivalent field. (Req)

Work Experience:

  • Executive Assistant (EA) experience., 5+ years (Req)

  • Excellent interpersonal, written and communication skills.
  • Requires professional demeanor at all times and must be flexible in a fast changing environment
  • Ability to recognize sensitive material and maintain the utmost discretion and diplomacy with a high degree of confidentiality
  • Polished executive assistant with professional maturity and previous corporate environment experience
  • Ability to effectively interact with senior level management both internally and with external clients
  • Ability to manage top level managers supported with tact, diplomacy and assertiveness
  • Demonstrated ability to work independently to establish priorities, multi-task, meet deadlines, strong organizational, time management and planning skills
  • Strong ability to multi-task, react and think quickly
  • Self-starter with strong sense of ownership and involvement
  • Ability to seek clarification or assistance when needed

The base pay range for this position is posted below and represents the annualized salary range. For hourly positions (non-exempt), the annual range is based on a 40-hour work week. The exact compensation may vary based on skills, experience, training, licensure and certifications and location.
