What this job involves:

As a Facilities Coordinator at JLL, you will support the Facilities Manager in the delivery of services to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management while developing client relationships with key representatives in supporting client's corporate real estate goals and objectives. This role requires working with the Facilities Manager to oversee the delivery of maintenance and repair services while maintaining client satisfaction with delivery of Facility Management services and support programs to increase customer satisfaction. You will interface with occupants of selected properties while providing 24/7 emergency call support and site attendance following established escalation procedures and incident reporting procedures. This comprehensive facilities coordinator role involves supporting work order management for in house staff and vendors as necessary while meeting or exceeding site Key Performance Indicators (KPIs) and assisting with monitoring Service Level Agreements (SLAs) monthly to identify potential challenges and plan corrective actions accordingly. You will demonstrate strong collaboration and teamwork within the account team by driving the development and implementation of IFM best practices and innovations while assisting in the development and management of operating and capital budgets, directly contributing to JLL's mission of delivering exceptional facility management excellence through comprehensive property operations, client relationship development, and financial management that ensures superior customer satisfaction, operational efficiency, and strategic support across diverse commercial real estate environments.

What your day-to-day will look like:

  • Support Facilities Manager in delivery of maintenance and repair services while maintaining client satisfaction with Facility Management services and customer satisfaction programs
  • Interface with occupants of selected properties while providing 24/7 emergency call support and site attendance following established escalation and incident reporting procedures
  • Support work order management for in house staff and vendors while meeting site KPIs and monitoring SLAs monthly for challenges identification and corrective actions
  • Demonstrate strong collaboration and teamwork within account team while driving development and implementation of IFM best practices and innovations
  • Assist in development and management of operating and capital budgets while supporting Facilities Manager in implementation of short and long-term client projects
  • Assist in development and implementation of annual management plan while accomplishing key performance indicators identified by Facilities Manager
  • Oversee appropriate monthly/quarterly/annual reporting for client while maximizing utilization of suppliers, preferred vendors/contractors and M/WBE spending levels
  • Ensure compliance with Jones Lang LaSalle minimum audit standards while developing and managing detailed zero-based annual operating budgets for territory buildings.

Required Qualifications:

  • Minimum of two years of industry experience required either in corporate environment, third party service provider or as consultant for comprehensive operational understanding
  • Excellent customer, computer, managerial, verbal and written communication skills with ability to multi-task and effectively organize responsibilities for portfolio goals achievement
  • Basic knowledge of building systems including mechanical and electrical systems with computer proficiency for comprehensive technical coordination and operations management
  • Understanding of maintenance and repair services delivery oversight while demonstrating client satisfaction maintenance with Facility Management services and support programs
  • Experience with occupants interface and 24/7 emergency call support with site attendance capabilities following established escalation and incident reporting procedures
  • Knowledge of work order management for in house staff and vendors while understanding site KPIs meeting and SLAs monitoring for challenges identification
  • Experience with collaboration and teamwork within account team while demonstrating IFM best practices and innovations development and implementation capabilities
  • Understanding of operating and capital budgets development and management while demonstrating short and long-term projects implementation support for client coordination.

Preferred Qualifications:

  • Experience with annual management plan development and implementation while understanding key performance indicators accomplishment as identified by Facilities Manager
  • Knowledge of monthly/quarterly/annual reporting oversight appropriate for client while understanding suppliers, preferred vendors/contractors utilization maximization
  • Understanding of Jones Lang LaSalle minimum audit standards compliance while demonstrating detailed zero-based annual operating budgets development and management
  • Experience with monthly/quarterly variance reporting on operating budgets for properties on timely basis while coordinating discussions with vendors regarding performance criteria
  • Knowledge of existing contracts maintenance management while understanding local services and goods sourcing through 3rd party suppliers including contract writing
  • Experience with vendor set up forms obtaining and certificate of insurance reviewing for compliance while supporting IFM team collaboration with account Sourcing team
  • Understanding of national and regional sourcing opportunities coordination while demonstrating scope definition, supplier walk-through coordination, and performance management
  • Background in corporate real estate goals and objectives support while demonstrating facility maintenance, procurement, and supplier management comprehensive coordination.

Estimated compensation for this position:

56,200.00 – 81,500.00 CAD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
