Job Summary

The Human Resources Onboarding Specialist is responsible for handling all steps necessary for bringing on a new hire after the individual has accepted the offer through the first day of work, including background checks, notifying candidate post clearance, processing pre-hire verifications, answering candidate questions, processing I-9s and delivering New Hire Orientation upon arrival. This team member will provide daily updates to managers, candidates, and recruiters, and ensure proper onboarding and accurate flow of data.

Job Description

Essential Functions

  • Take a proactive approach with the entire onboarding process and suggest improvement where needed to ensure that each candidate has an exceptional new-hire experience.
  • Draft and send out offer letters, perform all background and reference checks, collect all necessary new hire documentation, send out new-hire paperwork, and conduct new hire orientations.
  • Serves as liaison between hiring managers, operations team, and information technology team to ensure each new hire has their necessary system access, hardware, building access, and appropriate ‘welcome’ gift for their first day.
  • Consistently communicate with all new hires and hiring managers to give a status update of the on-boarding progress.
  • Participate in other HR related projects.
  • Backup support to recruiting team as needed

Knowledge and Skills

Excellent written and verbal communication skills. Able to multi-task with the ability to rearrange priorities on short notice. Strong problem resolution skills. Solid attention to detail, time management and the ability to handle confidential and sensitive information.

Education and Work Experience

Bachelor’s degree required; HR-related degree preferred. 2+ years of relevant work experience; experience in HR onboarding role preferred. Excellent verbal and written communication skills – in person, phone, and email. Must enjoy communicating with and assisting others. Strong relationship building and presentation skills. Strong problem solving and decision-making skills; knows when to escalate issues. Comfortable working in a team environment but also able to operate independently. Solid proficiency in Excel, Word, and PowerPoint. Experience with using HR tools & technology, such as applicant tracking systems and/or HRIS modules, is preferred.

Physical requirements include stooping, standing, climbing and occasionally lifting of a minimum of 40 lbs. of office or facilities equipment. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
