Summary of Job Duties:

Under the direction of the Practice Director and Office Manager, the Administrative Coordinator effectively provides administrative support and coordination to the UAMS faculty and providers in the Pediatric Division of Rheumatology. Responsibilities include, but are not limited to, coordinating all office activities, maintaining faculty and provider files, preparing reports, handling travel and purchasing, and coordinating educational activities. With the goal of providing the best possible service to both internal and external stakeholders, patients, and families, this position functions with a high level of professionalism, independence and organization to ensure efficient and continual coverage of administrative needs.


Qualifications:

  • Bachelor's degree plus two (2) years of general administrative office support experience or

  • Associates degree plus four (4) years of general administrative office support experience or

  • High School diploma/GED plus six (6) years of general administrative office support experience required.

Knowledge, Skills & Abilities:

  • Knowledge of operations between a medical center in an academic and clinical enterprise.

  • Ability to effectively collaborate with colleagues, and internal and external stakeholders from a customer service and positive focus.


Additional Information:

Responsibilities:

  • Coordinates office activities with the office manager and other professional staff within and outside the assigned unit..

  • Assists with updating the system that is used for Rheumatology scheduling and submits clinic modifications to ACH to communicate changes to physician schedules. 

  • Maintains UAMS monthly on-call physician schedules and communicates the call schedule with the ACH On-Duty Schedule.  

  • Gathers information for credentialing for the Pediatric Rheumatology Faculty.

  • Oversees completion of the Time and Effort forms for the Pediatric Rheumatology section.

  • Updates Pediatric Rheumatology faculty profiles on the UAMS website.

  • Enters requisitions/travel in Workday for Pediatric Rheumatology faculty physicians. 

  • Management of IT inventory in the Pediatric Rheumatology Sections.

  • Assist with didactic meetings and organizing meetings for residents.

  • Requests privileges for department access to various programs and folders for faculty.

  • Perform other duties as assigned.
