Introduction

Are you ready to play a key role in how we use Workday to enable and improve HR processes? We’re looking for an HR Workday Specialist (HRIS) who will keep our systems running reliably, support HR teams and people leaders in using Workday effectively, and contribute to continuous improvement initiatives.

In this role, you’ll focus mainly on Workday administration, reporting, and operational support, while collaborating with teams across the HR Group (Business Partners, People Analytics, …) and with the Workday CoE in the Technical Operations Group to ensure data integrity and process efficiency. You will help translate HR and business needs into system solutions, working within Workday capabilities and established processes.

If you enjoy solving system challenges, manipulating data, supporting users, and making HR technology work better every day, this role is for you.

What you will do

Core responsibilities include:

  • Administer Workday processes: manage approvals, workflows, announcements, and help content; support new module rollouts through testing and training materials.
  • Provide HR operational support: resolve payroll blockers, execute mass updates (compensation, cost centres), manage special leave and WFH arrangements, and assist with performance cycle enablement. You will maintain strong accountability for data accuracy, compliance, and cross‑functional coordination (e.g., Payroll, Finance, HRBPs).
  • Deliver operational reporting and analytics: build and maintain Workday reports, track Swift and division KPIs, and maintain a report catalogue in collaboration with the People Analytics team. You will ensure data validation, consistency, and provide guidance to stakeholders on how to interpret and use reports appropriately.
  • Support learning and engagement tools: provide technical support for tools such as Questionmark and act as admin or backup for Workday Peakon, including acting as an escalation point or system admin/backup.
  • Drive continuous improvement: maintain the HRIS intake and prioritization process, ensure compliance and data quality, and contribute to strategic projects like job architecture alignment.
  • Support change management and adoption: coordinate testing and prepare timely and effective training and communication to the HR community regarding system updates, process changes, and best practices. This includes partnering closely with HR colleagues to prepare change materials.

What you bring

  • Bachelor’s degree in HR, Business, Information Systems, or equivalent experience. Other relevant backgrounds such as Business Analytics, Operations, or computer/information systems are equally valued.
  • A minimum of 3 to 4 years of experience in HRIS or HR Technology roles, with strong hands‑on experience in Workday. Experience with key Workday modules (e.g., HCM, Compensation, Recruitment, Performance Management) is a strong plus.
  • Comfortable working with data and generating reports (Excel & Workday reporting tools).
  • Technical curiosity and affinity beyond Workday, with an appetite to explore and adopt new tools and technologies, including AI.
  • Good understanding of HR processes and their system dependencies (Payroll, Compensation, Performance).
  • Clear communicator and team player, comfortable working with HR teams and beyond.
  • A proactive mindset and attention to detail, with a drive for operational excellence and continuous improvement.
  • Ability to manage multiple tasks and deadlines efficiently.
  • Ability to work independently with minimal oversight.
  • Experience working in a global environment is preferred.

Nice to have

  • Experience with Questionmark, Peakon, or similar HR tools.
  • Familiarity with GDPR and audit controls in HR systems. Workday certifications are a plus.

Why this role?

At Swift, HR technology is more than systems: it is how we empower people and keep the organization moving. In this role, you’ll have impact on two levels:

  • Operational excellence: Own critical processes and reporting that ensure accuracy and compliance in day‑to‑day HR operations.
  • Continuous improvement: Contribute to projects that enhance HR technology and improve employee and people leader experience.

This mix of hands‑on system work and process improvement makes the role visible and offers opportunities for growth within the team or across the organization.
