The Meeting Event Manager (I) functions as the client liaison and works with the lead MEM for assigned programs/events. Manage events through the implementation of strategy, delivery of objectives and execution of logistics, while effectively working with clients. Responsible for coordination of planning responsibilities as assigned from Lead MEM from post contract execution to final billing, while providing unparalleled levels of customer service. Work closely with client contact and Lead MEM to understand and meet program objectives/outcomes.

Scope 

The scope of this position is dependent upon assigned account/programs. Will vary from client to client and program to program. 

No direct reports. 

Reporting and Working Relationships 

Reports to Manager level. Working relationship with clients and third-party suppliers. Interacts with internal departments including, but not limited to, Sourcing, Registration, Housing, Supplier Relations, Sales, and Operations. 

Primary Responsibilities 

30% - Project & Supplier Management

  • Outlines deliverables for assigned Association program/event, including food & beverage management, AV specifications and all setup requirements.  Adheres to overall meeting planning timeline at direction of Lead MEM and assists with event specifications; may attend planning visits; assists client with budgeting; and facilitates prompt and accurate handling of all details.  Assists with managing supplier relationships and negotiates items such as audio-visual, general service contracting, destination management company, and all third-party contracts. Assists monitoring of all contracted services to ensure they are executed. May be part of the onsite team for events dedicated to. Participates in and contributes to Post Project Review.

40% - Event Management

  • Assists department with special projects, supporting the Meeting Event Managers with admin work and projects as directed, such as, RFP creation and process to include vendor comparison and liaison with potential vendor partners; space grid builds, event guide setup, post-convention reporting creation and other all projects as needed.

30% - Event Operation/Execution

  • Assists with onsite operation and support to clients, suppliers and facilities to ensure all functions or events occur as planned while monitoring service levels. Helps manage or limit client liabilities. Responsible onsite for the aspects of the event planned. 

Qualifications 

  • Bachelor degree or equivalent experience required. 

  • 1-3 years of experience in event or meeting management including budget maintenance desired

  • Destination knowledge and/or prior experience with hotel or other meeting venues sales is a plus. 

  • Prior experience in developing and maintaining key client and supplier relationships desired. 

  • Excellent computer skills, knowledge of Microsoft Office tools & ability to learn new technology quickly. Excel skills a must.

  • Prior experience in effectively handling multiple projects/demands. 

  • Ability to travel approximately 20%.
