About the role:

  • The Workplace Operations Team manages employee workspace needs in our dedicated offices and any needed workspace. This role will work on-site out of our Madison, WI office. Some of our other office locations include Birmingham, AL, Chicago, IL, and Boston, MA. Additionally, we have co-working spaces in New York, NY and Mexico City, Mexico.
  • You will serve in the full-time, exempt role of Workplace Operations Specialist reporting to the Head of Workplace Experience. This role is responsible for ensuring the office(s) runs smoothly and bringing a positive energy to the office culture. 
  • This position requires you to be in the office on a regular basis with the potential to travel to other offices.
  • This role involves managing the Madison office & studio location, but shares responsibility for all of the other work locations.

Scope of Responsibilities:

  • Making sure the office is clean and functioning properly for employees - including office equipment and facilities. 
  • In charge of all the snacks and amenities, plus additional help with lunch, breakfast and occasional dinner meetings.
  • Expense reporting & budget tracking.
  • Maintaining supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Liaising with internal business units and external vendors to implement matters including incoming / outgoing staff and contractors, relocations, office planning and new furniture requirements while ensuring minimal interruptions to business operations.
  • Helping route visitors (including guest registrations), mail and vendors
  • Maintain relationship with building management by utilizing tenant portal and email communication
  • Informing the entire office of any disruptions, i.e. fire drills, noise, building announcements, power outages, etc.
  • Provide additional support to other satellite offices.
  • Supporting effective communication across all teams/departments (e.g., correspondence, presentations, policies & procedures).
  • Bi-weekly post office visits; occasionally offsite storage visits.
  • Help with planning and coordinating office events.
  • Provide additional support to other responsibilities of the Workplace Operations team.

Skills we believe you need for the position:

  • 1+ years of experience in an administrative or office management role.
  • Enjoys working and collaborating with people.
  • Patient, friendly, outgoing and willing to answer questions.
  • Able to multitask and handle several different kinds of tasks in one day.
  • Self-starter who can fill down time with pursuing new ideas and improving processes.
  • Excellent oral and written communication skills.
  • Can work both independently and within a team.
  • Highly energetic with excellent organizational and problem-solving skills.
  • Previous experience coordinating group outings and purchasing supplies.
  • Excellent follow-up skills and attention to detail.
  • Ability to commute to the office daily.
  • No task is too small attitude.

Compensation:

At Fetch, we offer competitive compensation packages to the exceptional folks we hire. The base salary range for this position is $65,000 - $70,000. We also offer all employees equity in Fetch, so that everyone can benefit from Fetch’s growth.
