Job Description

The University of Nevada, Las Vegas invites applications for Records and Gift Processing Coordinator Division of Philanthropy and Alumni Engagement [R0145028]

ROLE of the POSITION

The Records and Gift Processing Coordinator, under the supervision of Director of Records and Information Services, exists to support the Division of Philanthropy & Alumni Engagement (“Division’s”) data needs. This position will work with various individuals to oversee that best practices with regards to gift processing, record management, report and data generation using current CRM software as well as other products customary in this field. 
 

This position independently performs a variety of professional level duties to ensure timely and accurate gift entry, reconciliation and audits of gifts and pledges into the CRM system.  This person will be required to research and resolve discrepancies. This position will also ensure the accurate and timely production of gift receipts and donor communication letters. This position also works independently and collaboratively with ongoing efforts to ensure data integrity and quality maintenance of constituent records.  In addition, this position will work on a variety of data enhancement projects.

With the use of a variety of software programs, this position will be responsible for the preparation and evaluation of data files and reports according to set procedures. This position will also be be expected to create new or revise existing policy and procedure documentation. 

This work is conducted in support of the development/fundraising goals and objectives of the university and specifically, on behalf of the Division, colleges and units, and the university’s President’s office.

  • Information systems used to support database maintenance and records activities:

    • Blackbaud Raiser’s Edge - main external relations database

    • PaperSave data warehouse database – to save supporting constituent documentation

    • Import-O-Matic - importing tool to support record maintenance and gift processing

    • Lexis Nexis - for biographical record validation

    • MobileUp App – mobile application to update alumni and friend information from Raiser’s Edge

    • Encompass/iModules – On-Line donation/event registration and email communication platform

    • Gravyty/Advance – for crowdfunding and giving day events

    • Evertrue – support Annual Giving Development Experience Officer Activity

    • Other Systems – as implemented in the future
       

  • Merchant accounts utilized to support credit card donation and event registration activities:

    • Blackbaud Merchant Services for Alumni and Foundation gift and event activity

    • Authorized.Net for Alumni and Foundation gift and event activity

    • Cybersource for Athletics gift activity

    • PayPal for Alumni and Foundation gift and event activity

    • Card Connect for text to give and auction activity 

    • Braintree – for digital wallet usage via Gravyty/Advance crowdfund platform

    • Braintree Tonal – for phonathon credit card processing

    • Stripe - for Digital wallet usage via Encompass/iModules platform

MINIMUM QUALIFICATIONS

This position requires a bachelor’s degree from an accredited college or university as recognized by the United States Department of Education and/or the Council on Higher Education Accreditation (CHEA) and a minimum of 1 to 3 years of experience in fundraising/development, records and information services or similar business experience.

PREFERRED QUALIFICATIONS
