Facilities Coordination

  • Coordinate with suppliers and vendors on job completion and deliveries on all scheduled and unscheduled maintenance service.
  • Coordinate of ad-hoc repair and provide support and coverage for Helpdesk functions
  • Janitor Management
  • Ensure an adequate supply and stock of spare part and office materials

Purchasing:

  • Assist the Facility Manager to coordinate in the procurement process in technical purchases. This involves coordination and issuance of Purchase Requisition through the system, Coordinating and issuance of Purchase Orders
  • Assist in obtaining and collating vendor information and prices for use in price negotiation and cost analysis
  • Assist BUs and other departments to raise purchase for office equipment, furniture and other office services.
  • Assist the Facility Manager to administer all contract documentation and ensure all contract information is updated in a timely manner
  • Maintain a register of all maintenance contracts
  • Provide admin support for new contracts and renewals
  • Payment administration of facilities vendor services

Customer Service / Client Relationships:

  • Provide superior customer service
  • Ensure feedback from client sessions is recorded and actioned to the satisfaction of the end user.
  • Pro-actively manage client expectations ensuring that the service levels are maintained.

Administration:

  • Provide assist in ad-hoc Administration Service per instruction from Site Leader
  • Provide assist to client’s ad-hoc request
  • Pantry supply and stationery management
  • Maintain the seating plan
  • Check and refill First-Aid Box
  • Assist in providing first line support and checking of all office equipment in the office. To liaise with service vendors on repair and servicing needs. Compile and submit all statistical information.
  • Assist to maintain all operational and maintenance manuals    
  • To support the FM team in meeting compliance of regulations / requirements of client

Reporting:

  • Provide input as required into the Monthly Report to client
  • Timely track and update regular administrative checklist and report

Training:

  • Model making support
  • Actively participate in all planned training activities
  • Company stamping applications for AIS
  • Set up meeting time schedule and location
  • AIS Flight booking
  • Car pick-up arranging and booking
  • Visa applications
  • Printing
  • Support AIS events, and poster and shirt designing
  • Prepare for the lab experiments conducted by client (JLL is not allowed to conduct the experiments)
  • Market learning of shoes related activities in TW
  • Ordering lab consumables
  • Maintaining lab test room and lab sample room.
  • Lab sample receiving and delivering
  • FT-Salomon sample arranging
