What this job involves - The Guest Relations Host is a pivotal team member responsible for cultivating an exceptional and welcoming environment for all visitors, clients, and internal staff. This role covers reception duties alongside broader office operations such as coordinating meeting spaces and events, and ensures the seamless functioning of various office resources. They are the primary point of contact for external guests, embodying a commitment to outstanding hospitality and efficient daily operations.
Key Responsibilities -
Guest Experience:
Greet visitors warmly and notify relevant team members of their arrival.
Provide excellent customer service and build strong guest relationships.
Maintain a welcoming and organized reception area.
Handle general in-person, email, or phone inquiries and provide information.
Manage reservations and appointments.
Assist with administrative tasks as needed (filing, data entry).
Suggest ideas for developing and evolving reception services and assist in implementing these ideas.
Prepare a daily visitor arrival list for the next working day by obtaining all external attendee names.
Manage access cards, keys, and security systems.
Manage visitor log-ins and ensure security policies are followed.
Facilities Coordination:
Check common spaces for any upkeep, turn on TV/the news, turn on the fire when the office is crowded, tidy spaces, and check for any damages on walls to be repaired or painted.
Serve as point of contact for building management, janitorial teams, and maintenance vendors.
Report lack of stock/supplies of certain items, i.e., stationery & printer toner etc.
Proactively raise work orders for surrounding areas to report any maintenance or cleanliness issues.
Coordinate maintenance of office safety protocols (first aid kits, fire exits).
Serve as an information source when necessary, assist and advise with any inquiries on building facilities, meeting room locations, special events, surrounding amenities as appropriate.
File GUTS tickets, as needed, and track them through completion.
Conference Room Support:
Help monitor meetings for conference rooms and shared spaces.
Check that GVCs are working in main conference rooms, rebooting if necessary.
Ensure conference rooms are tidy and ready for meetings.
Workplace Experience:
Help set up company lunches when needed.
Keep common areas clean, organized, and stocked.
Assist with ad hoc events in the evening (with OT and pending availability).
Mail & Deliveries:
Coordinate outgoing shipments (FedEx, UPS, couriers).
Administrative Support:
Assist with ad-hoc projects and tasks as needed.

Previous Hospitality/Reception experience is preferred - minimum of 3 years.
High attention to detail.
Excellent organization and communication skills, both oral and written, proficiency in English required.
Proficiency in Microsoft Office Suite and facilities management software.
Estimated compensation for this position:
58,600.00 – 70,000.00 USD per yearThis range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
