The Operations Coordinator role is essential to support daily business operations, ensure effective coordination across teams, and maintain operational efficiency. This position helps streamline processes, improve communication, track key activities, and support timely execution of operational priorities. By providing dedicated operational support, the role enables managers and team members to focus on strategic initiatives while ensuring continuity, productivity, and high service standards.

The Operations Coordinator will be responsible for the administrative management of the Operations Department, related to specific tasks in the ports, ensuring that all operational procedures are followed by captains and crew. The position is also responsible for monitoring and controlling relevant operational indicators and providing coordination and administrative support regarding the technical condition, maintenance planning, statutory certification, and operational readiness of the fleet, assisting in ensuring safe, reliable, and efficient vessel operations.

Specific Area of Responsibility:

The main tasks will be:

  • Perform administrative management tasks related to the Operations Department, including communications, fuel and water management, food allowance distribution, import and export coordination, fleet vehicle administration, port access management, overtime reporting, tugboat and launch service orders, ensuring compliance with the company procedures and systems.
  • Coordinate and monitor daily operational activities to support safe, efficient, and uninterrupted service delivery.
  • Carry out fuel consumption checks and reporting for tugboats, launches, and company vehicles.
  • Administer and maintain records related to operational and maintenance activities, ensuring data accuracy and timely follow-up of work orders.
  • Support the Operations Superintendent & Technical Manager in monitoring vessel technical condition, operational readiness, maintenance schedules, defects, and repair activities.
  • Coordinate and maintain records of vessel certificates, statutory documentation, inspections, surveys, and regulatory compliance requirements, ensuring timely renewals and follow-up actions.
  • Assist in the planning and coordination of preventive and corrective maintenance activities, including spare parts procurement and inventory monitoring.
  • Maintain technical documentation, equipment records, maintenance history, and fleet performance reports.
  • Monitor compliance with applicable local regulations, company policies, HSSE standards, customer requirements, and maritime industry best practices.
  • Support compliance with Peruvian maritime regulations, occupational health and safety requirements, environmental legislation, labor regulations, port authority requirements, customs obligations, and other local statutory requirements applicable to the operation.
  • Coordinate and maintain records required for audits, inspections, regulatory reviews, customer assessments, and compliance verification activities.
  • Assist in the investigation and follow-up of incidents, non-conformities, audit findings, and identified compliance gaps, ensuring timely closure of action plans.
  • Prepare and maintain operational, technical, compliance, and KPI reports as required by management.
  • Participate in operational, technical, and HSSE improvement initiatives aimed at enhancing safety, reliability, efficiency, regulatory compliance, and continuous improvement across the business.
  • Support business activities and ensure safe, efficient, reliable, and cost-effective operations in compliance with contractual, regulatory, and company requirements.
  • Perform other ad hoc duties and special projects assigned by management

Required/Preferred Education 

  • Graduate in Business Administration, Industrial Engineering, Mechanical Engineering, Marine Engineering, Naval Engineering, Maritime Studies, or related careers, preferably.

Training and Experience

  • More than 2 years of experience in similar positions, preferably.
  • Basic understanding of vessel maintenance processes, statutory certification requirements, and marine operations preferred
  • Strong service culture.
  • Availability and proactivity.
  • Fluent written and spoken Spanish.
  • Intermediate level Written and spoken English.

Proficient in MS Office application.
