Who we are

The School of Engineering Medicine in collaboration with Texas A&M College of Engineering, Texas A&M School of Medicine and the state’s top-ranked Houston Methodist Hospital offer an innovative medical school program called ENMED.  This program was established to transform healthcare through translational interdisciplinary research, the development of medical technologies, and the development and training of “Physicianeers.” ENMED delivers a revolutionary blended curriculum with focus on innovation and entrepreneurship where students receive a Doctor of Medicine and Master of Engineering degree in the same four years.  

What we want

The Program Specialist III at the Texas A&M School of Engineering Medicine will serve as the critical bridge between the School’s Office of Faculty Affairs & Professional Development and the School’s affiliated teaching hospital and ambulatory clinical partners. This position will manage the lifecycle of adjunct clinical affiliate faculty appointments, ensuring that every physician and healthcare professional teaching the School’s medical students is fully credentialed, compliant, and active within the School’s Clinical Affiliate Faculty Portal.

Required Education and Experience

• Bachelor’s degree or any equivalent combination of training and experience.
• Four years of experience in higher education administration, medical staff services, or healthcare credentialing.

Preferred Qualifications

• Bachelor’s or Master’s degree.
• Four years of experience in faculty affairs in a higher education setting.

Knowledge, Skills, and Abilities

• Ability to balance the priorities of the Faculty Affairs office with the operational realities of the teaching hospital. 
• Ability to manage a high volume of moving parts (training, docs, portal clicks) without letting anything slip. 
• Ability to anticipate bottlenecks in the application process before they impact the academic calendar. 
• Takes full responsibility for the "Active Status" of the adjunct faculty roster. 
• Ability to multitask and work cooperatively with others.
• Knowledge of spreadsheet, presentation, and word processing applications.
• Excellent verbal and written communication skills.
• Strong interpersonal, organizational, and customer service skills.
• Maintains attention to detail and utilizes sound judgment.
• Advanced proficiency in navigating and managing customized database portals and CRM systems. High competency in Microsoft Excel for data tracking and reporting.
• Strong working knowledge of FERPA and the importance of maintaining confidentiality within faculty personnel files.
• Ability to communicate with professional authority and diplomacy when interacting with high-level clinical faculty and executive leadership.

Responsibilities

Cross-Institutional Liaison

• Acts as the primary administrative link between the School of Engineering Medicine Office of Faculty Affairs & Professional Development and the School’s affiliated teaching hospitals and ambulatory clinic leadership and staff. 
• Collaborates with the Associate Dean of Clinical Affairs office to identify staffing needs and streamline the onboarding of new clinical adjuncts. 

Portal Management & Onboarding

• Serves as the functional expert for the School’s Clinical Affiliate Faculty Portal, guiding faculty through the end-to-end application process. 
• Ensures the timely completion of all application requirements, including document uploads (CVs, Board Certifications, Licenses) and primary source verification. 
• Collaborate with the Office of Educational Affairs, Office of Evaluation, Assessment & CQI, Office of Student Affairs, and the Department Head of EnMed Education to support institutional needs

Compliance Monitoring

• Monitors and enforces the completion of required modules, including FERPA training, HIPAA compliance, and other medical school/hospital-specific orientations. 
• Maintains "Active Status" records, ensuring no faculty member engages with students without fully cleared credentials. 

Data Integrity & Reporting

• Audits the portal regularly to ensure data accuracy and resolve technical hurdles for faculty users. 
• Prepares and presents status reports for the Assistant Dean of Faculty Affairs and Professional Development and Associate Deans of Clinical Affairs of our clinical affiliate partners regarding appointment trends, compliance gaps, and upcoming renewals.

• This position will be located in Houston, Texas.
• This position is security sensitive.
• This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures.
