Job Description Summary

Organization's Summary Statement:

The Center for Global Sustainability (CGS) at the University of Maryland seeks an HR & Payroll Coordinator to provide operational support for human resources and payroll administration. This position supports the day-to-day execution of HR and payroll processes, including processing HR transactions in Workday, supporting payroll and timekeeping compliance, maintaining employee records, and coordinating onboarding activities.

The HR & Payroll Coordinator assists with personnel administration for faculty, staff, students, and contingent employees, ensuring transactions are processed accurately and in compliance with university policies and procedures. This role works closely with CGS leadership, School of Public Policy administration, and central university offices to support efficient HR and payroll operations.

The position reports to the Manager of Human Resources and plays a key role in maintaining accurate employment records, supporting payroll reporting and compliance, and assisting with the coordination of HR administrative processes across the Center.

Essential Duties & Responsibilities:

Human Resources Transactions
-Initiate and process HR transactions in Workday including hires, job changes, end job actions, and additional pay entries.
-Assist with preparation and routing of offer letters, PTK faculty contracts, student appointment documentation, and other employment records.
-Maintain personnel documentation and ensure employee records are complete and properly maintained.
-Track appointment end dates, contract renewals, and funding changes to ensure timely personnel actions.
-Coordinate onboarding processes for new employees including employment documentation and administrative setup.
-Assist with tracking and documentation for Form I-9 employment eligibility verification to support compliance requirements.
-Route HR forms and supporting documentation for review and approval.

Payroll Processing & Timekeeping
-Monitor and review employee time entry to ensure accuracy and compliance with university payroll policies.
-Track payroll deadlines and ensure required actions are completed in a timely manner.
-Process payroll adjustments and corrections in coordination with the appropriate campus payroll offices.
-Support entry and monitoring of additional pay transactions.
-Assist with payroll reconciliation activities and payroll reporting.
-Monitor student employment appointments to ensure compliance with university FTE limits.
-Coordinate with the School of Public Policy Business Office and Central Payroll regarding payroll matters and issue resolution.

Compliance & Reporting Support
-Track HR compliance requirements related to employment documentation and payroll administration.
-Maintain HR and payroll tracking reports and internal documentation.
-Run and review Workday reports to support HR operations and payroll monitoring.
-Assist with preparation of documentation for audits or internal reviews.

Other Duties
-Provide administrative and operational support for HR functions within CGS.
-Assist with onboarding logistics and coordination for new employees.
-Perform other duties as assigned in support of HR and payroll operations.


Physical Demands: General office duties and tasks, may need to occasionally lift boxes with papers and other documents, up to 20lbs. This is primarily sedentary work. Repetitive typing motions involved.

Work takes place in both an office environment and in on-campus buildings; will require ability to travel throughout campus. While position is not physically demanding, incumbent must be able to perform well under strict deadlines.


Licenses/ Certifications:

Minimum Qualifications

Education: Bachelor’s degree from an accredited college or university.

Experience: One (1) year of professional human resources or payroll experience.

Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.

KNOWLEDGE, SKILLS, & ABILITIES:
Knowledge of human resources policies and procedures, and federal, state, and other applicable human resources related laws, rules, regulations, and ordinances.
Knowledge of payroll functions.
Skill in the use of Microsoft Office products.
Ability to multi-task and prioritize assignments.
Ability to analyze situations and determine the best recourse for response.
