Key Responsibilities:
Shipping & Receiving Customer Work Orders:
- Process and manage incoming and outgoing customer work orders, ensuring all items are shipped or received in a timely and accurate manner.
- Coordinate the scheduling and tracking of shipments, ensuring compliance with customer requirements and internal deadlines.
- Verify work orders against inventory, preparing and organizing shipments as needed.
- Ensure proper documentation is completed for all outgoing and incoming shipments.
Managing Bills of Lading (BOLs):
- Generate and review Bills of Lading (BOLs) for shipments, ensuring accuracy and compliance with customer and regulatory standards.
- Coordinate with carriers to confirm shipping details and ensure that BOLs match shipping contents.
- Maintain a well-organized BOL filing system, both physical and digital, for easy retrieval and tracking.
Customer Interaction & Communication:
- Serve as the point of contact for customers regarding order status, shipment tracking, delivery updates, and any issues related to shipping and receiving.
- Address customer inquiries in a professional and timely manner, resolving any discrepancies or concerns related to orders, shipments, or deliveries.
- Maintain clear and consistent communication with customers about order status, delivery timelines, and any delays or issues.
Communication with Service Technicians:
- Liaise between customers and service technicians to ensure timely and efficient delivery and receipt of goods.
- Provide technicians with accurate work orders, shipping details, and any special instructions related to customer orders.
- Ensure technicians are kept informed of any changes in delivery schedules or work order updates.
Time Management & Prioritization:
- Prioritize daily tasks to ensure timely shipping and receiving of orders.
- Manage time effectively to meet deadlines, especially in a fast-paced environment.
- Ensure that shipments and work orders are processed according to customer and internal priorities, minimizing delays and backlogs.
Working in a Freight Portal:
- Utilize freight portals to track shipments, obtain shipping quotes, and manage logistics for incoming and outgoing deliveries.
- Update and maintain shipment statuses in the freight portal, ensuring real-time tracking for all stakeholders.
- Collaborate with freight providers to resolve any issues with shipments, such as delays or damage.
SAP Reporting:
- Use SAP software to generate and maintain accurate records for inventory, shipping, and receiving transactions.
- Report on shipping and receiving activities, including order statuses, shipment timelines, and inventory levels.
- Enter data into SAP for work order processing, inventory tracking, and reporting on key performance indicators (KPIs).
- Ensure all data entered into SAP is accurate and up-to-date, facilitating smooth operational flow.
Qualifications:
- Education: Bachelor’s degree in communications, or a related field (or equivalent work experience).
- Experience: 3-5 years of experience in customer service, with at least 2 years in a supervisory or coordinator role.
- Skills:
- Strong leadership, communication, and problem-solving skills.
- Ability to manage multiple priorities and lead by example.
- Proficiency with Microsoft Office Suite.
- Forklift experience preferred

- Detail-oriented, customer-focused, and results-driven.
- Ability to remain calm under pressure and handle sensitive situations with tact and professionalism.
- Strong analytical skills with the ability to assess data and recommend improvements.
Working Environment:
- This position may require occasional evenings or weekends depending on business needs.
Salary range:
$46,600.00 - $74,600.00
