Facilities Manager - part-time (9h/week)

Role Purpose

The Facilities Manager is the linking pin between the vendor on site delivering day to day scope, and the wider account leadership team. The Facilities Manager provides remote Operational oversight and administrative support for contract activities including (but not limited to) accounting and finance, maintenance and operations, vendor oversight, HSSE purchasing of material, equipment & supplies, occupancy services and Corrigo helpdesk. The Facilities Manager must have fluent spoken and written French, and a high level of spoken and written English.

Client/Stakeholder Management

  • Provide superior customer service to meet on-site client’s expectations

Procurement & Vendor Management

  • Responsible for management of vendor Service Manager on site to ensure they perform to the required standards

Finance Management

  • Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner.
  • Ensure prompt and accurate management of purchase orders in JDE - creation of PR forms, GR's etc.
  • Ensure issues with invoices are investigated and solutions acted upon in a timely manner.

Health & Safety Management

  • Ensure JLL and account HSSE processes are in place and followed i.e. RAMS, Contractor Site Orientations etc.
  • Follow up of incidents and issues with supplier

Site Operations Management

  • Assist in the implementation of Industry Best Practice operations
  • Conduct occasional site inspections and assessments to ensure all building procedures and performance measures are maintained at all times
  • Seek ways to constantly reduce costs and improve operational standards
  • Ensure Vendor Site Manager maintains premises in neat and good working condition at all times

Risk Management

  • Follow established escalation procedures and incident reporting procedures
  • Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
  • Achieve Key Performance Indicators and Service Level Agreement targets
  • Assist in all needed reporting (client and JLL internal)
