Reporting to the Sr. Manager, Center of Excellence the Billing Specialist will assist in closing completed work orders, verify the accuracy of customer and contractor billings for service invoices, perform the necessary reconciling, investigation, and resolution of any discrepancies.  You will provide accurate and timely verification of independent subcontractor labor costs on service invoices, ensure correct pricing is on each work order to customer Purchase Order or pre-determined pricing, and close out work order billings to move along to accounting for customer invoicing and assure timely revenue recognition for the Branch.

The ideal candidate will be highly organized, and have strong financial, administrative and communication skills, and possess strong math and organizational skills.  You will interact with Branch personnel and Corporate Accounting daily as part of a remote working team environment.

Hourly Range: $19.00 - $21.00

Schedule: Monday - Friday, 8:00 AM - 5:00 PM PST - *Saturdays/Sundays may be required at times

Work environment: Remote

Responsibilities:

  • Establish relationships with customers (internal & external) to ensure accuracy of documentation, timely invoicing, collection, and payment for all services
  • Perform detailed review of work order notes, customer Purchase Orders, and job costing to ensure correct pricing is applied, if not, a correction or update as needed to finalize work order
  • Ensure that sub-contractor compensation is correctly calculated on all invoices and submitted on time for the pay cycle(s)
  • Create compensation adjustments for independent sub-contractors, ensuring sub-contractors are paid correctly
  • Utilize pricing / bid data from pricing folder to update database and invoices, maintain folders / customer files
  • Complete updates to zone pricing for new properties and properties with pricing changes
  • Update clients contact and billing information within our client database
  • Communicate with sales and management team member to ensure pricing / property information is shared and regularly updated
  • Merge together orders based on client billing frequency (monthly, bi-weekly, and weekly)
  • Manage recurring services with different billing frequency per client needs (monthly, bi-weekly, and weekly)
  • Upload invoices into third party platforms
  • Responsible for researching, processing, and communicating customer invoice disputes and credits
  • Responsible for assisting the collections team with accounts receivable follow-up
  • Performs other duties, as assigned

Qualifications:                      

  • High School Diploma or GED
  • Associate Degree in Finance, Accounting, Business Management, or related field preferred
  • A minimum of 2 years of prior billing/invoicing, financial audit, or data entry experience
  • Accounting experience preferred
  • Prior customer service experience preferred
  • Bilingual (English / Spanish) preferred
  • Experience with Salesforce is highly preferred
  • Outstanding customer service skills to include empathy, verbal/written communication, and follow-up with a sense of urgency
  • High energy, results-driven attitude
  • Accuracy and attention to detail is a must
  • Excellent skills in data analysis, communication and problem solving
  • High quality organizational skills
  • High degree of innovation and independence, and the ability to work with minimal supervision
  • Proficiency in Microsoft Office applications including Excel, Word, PowerPoint, and Teams
  • Ability to adapt to technology platforms.  Familiarity with CRM systems and practices
  • Ability to demonstrate a professional demeanor at all time
  • Comfort with multi-tasking and working in a fast-paced environment while managing time effectively
  • Able to work with cross-functional teams within the organization
  • Flexibility to be on call during irregular hours depending on business needs

The final compensation offered will be determined based on various factors, including the candidate's location, level of experience, and skill set. As such, it may fall outside the range listed above.
