We are seeking a dynamic and skilled Assistant Manager, Events and Operations to join our team. The role will be responsible to plan, coordinate, and execute career-centric events as well as managing other shared operational functions such as finance and procurement. This individual will work closely with staff, students, employers, and other stakeholders to ensure the seamless delivery of services and events that support our students' career development and enhance their corporate readiness.

Key Responsibilities

Event Planning and Coordination:

  • End-to-end event management to organise career fairs, employer panels, workshops, and networking events.

  • Collaborate with internal and external stakeholders to secure participating employers, panellists and/or guest speakers.

  • Oversee logistical arrangements, including site recce, venue setup, furniture rental, AV requirements, and catering services.

  • Develop and execute event promotion strategies to drive participation and engagement.

Stakeholder Engagement:

  • Serve as a point of contact for students and employers regarding event participation.

  • Provide support and guidance to students preparing for events and opportunities.

  • Fostering close ties with both internal and external stakeholders (i.e., CAO teams, appointed vendors) to ensure smooth execution of events.

Analytics, Data Management and Reporting

  • Maintain accurate records of event attendance, feedback, and other relevant metrics.

  • Prepare reports and analysis on event outcomes and office operations.

  • Utilise data to make recommendations for improving event effectiveness and operational efficiency.

  • Conduct competitor review and analysis to identify market trends, competitive advantages and opportunities.  

Operations Management & Office Administration

  • Assist in the development and implementation of office procedures and policies to ensure efficient day-to-day operations.

  • Coordinate with other departments and external partners to streamline operations and address any issues that arise.

  • Provide secondary support to functions such as budget tracking and financial reporting, office organisation and facilities management, as well as administrative support.

Team Collaboration and Communication

  • Collaborate with university stakeholders, including academic departments and administration, to ensure alignment of career services with overall university objectives.

  • Assist in training and supervising student assistants, interns and associates as needed.

  • Contribute to the development of new initiatives and supporting ad-hoc projects, if any.

Qualifications, Skills & Competencies

  • Bachelor’s degree from a recognised university in Business Administration, Event Management, Communications, or related fields.

  • 5 to 7 years of relevant experience preferably in an academic or similar environment, with some exposure/experience in supervisory role.

  • Proven track record in end-to-end event management, including planning, coordination, execution and driving participation.

  • Excellent interpersonal, communication, stakeholder engagement and management skills.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Strong time management, organisational and problem-solving skills.

  • Effective in data management, interpretation, reporting and visualisation.

  • Analytical, meticulous and can handle sensitive information with confidentiality and professionalism.

  • Proficient in Microsoft Office (Excel, Powerpoint, Word) and Design tools (Canva).

  • Passionate to create a positive impact for students and all other stakeholders.
