Position Overview:

JLL is seeking a Facilities Coordinator that will be working closely with the Facilities Manager & the Atlassian Workplace Experience Team to create and deliver exceptional workplace experiences. In this role, you will be responsible for anticipating client needs, outperforming key performance indicators within the contract, and delivering operational excellence.

Day to Day Responsibilities:

  • Perform comprehensive daily inspections of assigned buildings and spaces
  • Execute minor repairs and routine equipment maintenance, including patching, painting, hardware repairs, and other repair/replacement work
  • Manage and triage workplace tickets through Jira Service Desk and Corrigo
  • Ensure compliance with WHS policies and procedures, including emergency protocols
  • Help coordinate fire warden / first aid training programs
  • Liaise with building management and oversee on-site vendors
  • Perform routine facility and equipment maintenance
  • Conduct regular safety checks and participate in HSE-related programs and activities
  • Use basic carpentry, plumbing, painting, and custodial tools as needed
  • Assist with space planning and office reconfigurations

Facilities Responsibilities:

  • Supporting facilities with managing vendors onsite
  • Liaising with building management as needed
  • Triage of workplace tickets accordingly
  • Performs routine facility and equipment maintenance
  • Performs routine daily inspections of assigned buildings and spaces.
  • Adhere to building WHS policies and procedures including emergency procedures
  • Follow all activity policies and procedures, including all HSSE-related requirements at all times
  • Participate in all HSE-related programs & activities as required, including incident investigations, interviews, auditing, and assessment, etc

Meeting & Events Responsibilities:

  • Performs the duties associated with events, including staging rooms per the requested set-up plan in a timely manner, and resetting them to a normal state
  • Performs daily meeting and conference room turnover and/or midday room reconfigurations and resets for indoor and outdoor spaces
  • Escalates potential issues/concerns to management as appropriate
  • Responsible for post-event storage and inventory of tables, and chairs, and reporting of cleaning services needs
  • Completes room checks and ensures technical and visual spaces are functioning properly and reports AV services needs
  • AV setup and troubleshooting experience are preferred, but not required.
  • Provides general and detailed maintenance (either with direct or indirect supervision), including patching, painting, hardware repairs, and other repairs as required
  • Completes all documentation for work performed via the Jira Service Desk, and other records and documentation in a timely manner

Operations and Financial Management Support:

  • Assist Facilities Manager with day-to-day facilities operations, including maintenance, repairs, and services.
  • Coordinate with vendors and service providers to ensure timely and quality delivery of services.
  • Contribute to creating a customer-focused environment
  • Improve service delivery and customer satisfaction
  • Assist with budgetary requests, analysis and reporting
  • Assist with researching, analyzing, and reporting budget variances
  • Review operating expenses and implement cost-saving measures

Communications

  • Communicate with team and client frequently and effectively
  • Emails alerting Atlassians of site facilities and event activities
  • Update work tickets
  • Monitor and update site-specific and global chat rooms

Job Requirements:

  • This job requires the employee to be 100% on-site
  • Strong facilities experience or relevant technical background
  • Excellent problem-solving and troubleshooting skills
  • Proficiency in G-Suite Tools, facilities management software and Atlassian tools a plus
  • Knowledge of building systems and maintenance procedures
  • Ability to read and work from plans and operating instructions
  • Detail-oriented with strong time management skills
  • Excellent interpersonal and communication skills
  • Works independently with limited supervision
  • Ability to stoop, stand, climb, frequently lift a minimum of 50 lbs. of equipment (pumps, tools, ladders) and safely use devices
  • Regularly required to crouch and reach to install/move equipment by bending forward at the waist or by bending legs and spine

Estimated total compensation for this position:

56,000.00 – 81,200.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
