Summary of Job Duties:

The Executive Assistant II provides executive-level administrative, clerical, and office support for the Department. This role coordinates event planning, travel management, purchasing, scheduling, and other related administrative activities. The Executive Assistant II is responsible for reconciling both P-card and T-card transactions, coordinating departmental meetings, preparing meeting agendas and minutes, and approving/processing payroll for bi-weekly employees within the Department. Additionally, the role involves keeping track of all department inventory and supporting other members of the leadership team as needed.


Qualifications:

  • Bachelor's Degree PLUS three (3) years of administrative or related experience OR High School Diploma/GED Plus seven (7) years of administrative or related experience

Preferred Qualification:

  • Bachelors Degree in Business Admin/Healthcare OR related PLUS Four (4) years administrative experience.

Responsibilities:

  • Maintains calendars, schedules appointments, coordinates meetings and special events, answers phones and responds to inquiries, processes mail, and coordinates travel arrangements. 
  • Performs general office management functions, including ordering supplies, maintaining inventories of assets, requesting services and equipment maintenance and repairs and completing purchasing requisitions. 
  • Maintains financial records and monitors expenditures and accuracy of transactions. Provides status reports on departmental accounts as required.
  • Acts as central liaison and initial point of contact for executive meetings with internal and/or external stakeholders. 
  • Acts as a liaison to other programs, departments, or agencies providing guidance and necessary correspondence. 
  • Assists in the planning of departmental events and ensures conference rooms are setup appropriately prior to event. 
  • Keeps track of timekeeping for bi-weekly employees within department    
  •  Performs other duties as assigned
