Position Summary

The Department of Psychiatry at Washington University School of Medicine is a national leader in high-impact mental health, especially in our research mission (#8 in NIH funding) and education mission (large and high-quality psychiatry residency and child psychiatry fellowship programs and medical student, graduate student, and post-doctoral training), with growing clinical services. We are looking for a strong leader to manage the business office staff of 38 individuals who will capitalize on every opportunity to strategically grow and run the department, will work closely with the department chair and the rest of the leadership team, work effectively with the School of Medicine’s administrative, financial, and clinical operations, and work effectively with our partner health care system (BJC).

Job Description

Summary of the Duties & Responsibilities, across all missions (research, educational and clinical):

  • Operational leadership of the business office.
  • Financial reporting and oversight.
  • Contracts (e.g., negotiations), particularly with BJC.
  • Makes the missions fiscally sound and efficient as they grow (particularly the clinical mission).
  • Works with the department chair and other leadership on strategy for departmental growth and changes.
  • Enhancing mental health equity.

Additional details regarding responsibilities of this position:

  • Directs department business functions, such as research administration, finance, accounting, human resources, facilities and space management, compliance and patient safety, and information systems.
  • Leads and manages the business office team including professional development of staff .
  • Plans/directs business functions.
  • Negotiates/recommends business aspects of contractual relationships and oversees systems/procedures to implement contract administration.
  • Maintains detailed reporting to track/improve/record business related information and measure operations.
  • Develops department budget process, accounting methods and related financial programs.
  • Works closely with the chair in developing and executing an annual department business plan that outlines short and long term goals and objectives which includes development of a multi-year financial forecast based on department objectives; considers and addresses the financial impacts of new initiatives as well as those associated with internal and external trends and changing regulations (e.g., reimbursement changes and grant opportunities); and ensures long-term, fundamental financial stability and growth of the department.
  • Creates and executes strategies for cost control and revenue enhancements.
  • Provides a strong, sound departmental infrastructure to support the faculty and tripartite mission of the Department and the School of Medicine. Ensures staff organizational structures meet the needs of the department.
  • Facilitates compliance with governmental agencies, University, Medical School and Department mandatory training programs.
  • Monitors department salary administration and advises the chair on salary adjustments for faculty.
  • Plans future utilization of existing departmental facilities and recommends allocation and use of new and remodeled space or service locations. Monitors change to existing facilities, manages departmental research and service facilities, reviews and analyzes requests for space and recommends distribution of space to the department chair and Executive Council. Assesses financial impact, cost benefits, tradeoffs and long range implications of space decisions. This is done in collaboration with the university’s facilities and space management team. 
  • Maintains current contact with internal/external groups to enhance department programs, introduce advanced methods and negotiate department needs. 
  • Represents the Department/Medical School/University and participates as a member on various committees and activities on both a routine and ad hoc basis. Acts as liaison for department chair with faculty, staff, Medical School/University Administration, various hospital administrators/staff, vendors and other associates representing the Department in a positive and professional manner.


Preferred Qualifications

  • Experience in an academic medical center or health system.
  • Strong leadership, management, organizational, and mentorship skills, with emphasis on solution-focused analytical thinking, negotiation and conflict management Demonstrated ability in strategic planning, financial and business forecasting, financial management and budgeting.
  • Ability to communicate effectively and diplomatically with diverse populations in a complex academic environment.
  • Ability to deal effectively with ambiguity, make quality decisions, set one’s own and others’ priorities, motivate staff, multi-task, and be flexible.

Required Qualifications

  • Master’s degree in business or related field or equivalent experience.
  • At least ten years of progressively responsible managerial experience to include strategic business planning, financial and programmatic feasibility studies, complex financial analysis and financial forecasting, and budget preparation.
