Job Summary and Purpose: The Contracts Administrator will be a highly organized and detail-oriented team player.  They will support colleagues in managing the legal inbox, conducting initial reviews of contracts, assigning contracts and other tasks, tracking deadlines, and overseeing final review for execution. To be successful in this role, you should have excellent communication, time management skills and be well-organized.

Key Responsibilities include, but are not limited to:

  • Review initial requests for contract review/support to ensure all documents and information are provided.  Request missing artifacts and gather needed information and documents. 
  • Perform initial review of documents, as requested, to review key terms that may require escalation. 
  • Prepare final contracts for execution, route contracts for signature, collect and save executed contracts in designated shared folders, and hand off final signed copies to appropriate teams in a timely manner.
  • Prepare and send weekly status report of contract activity.
  • Coordinate and manage legal intake shared inbox, including logging non-contract requests, tracking progress, and ensuring timely responses through multiple channels of communication.
  • Maintain tracker of any disputes and litigation.  Assist in gathering supporting documentation and records.
  • Provide guidance and support to colleagues regarding contract-related team assignments and status.
  • Distribute and process department incoming and outgoing mail, update tracking and filing systems.
  • Perform other duties as assigned or required.

Experience/Education:

  • 5-years related experience in a corporate or law firm environment.
  • Bachelor’s Degree in a Business or Legal Related Field (Preferred).

Knowledge, Skills & Abilities:

  • Self-starter and highly organized with superior attention to detail
  • Ability to thrive in a fast-paced environment.
  • Ability to multitask and prioritize multiple projects.
  • Experience with SharePoint, DocuSign, Word, and Excel
  • Licensed as a notary, or ability to obtain notary license.
