THE ROLE

We are seeking a dedicated and detail-oriented Facilities Coordinator to join our team. This person will be responsible for running the mailroom, backing up the receptionist, and assisting the Office Manager with day-to-day duties. 

WHAT THIS ROLE WILL DO

     Office Maintenance and Coordination:

  • Maintain a clean office environment through property management via IMPAK requests.
  • Arrange for repairs, cleaning, or removal of items as needed.
  • Reorganize offices when employees move.
  • Setup and book Day-Use offices and workstations for out-of-office employees.
  • Book conference rooms for employees upon request.
  • Deliver packages to employees when necessary
  • Order and maintain supplies for HP printers/copiers and request maintenance as needed.
  • Assist with assigning workstations and offices to new hires using Office Space software.

 Support Duties:

  • Relieve the front desk for lunch breaks.
  • Attend meetings and take notes on future office remodels and policy updates.
  • Address employee requests and discuss with the Facilities Manager.
  • Collaborate with the IT department on packages for new hires.

   

  Mailroom Management:

  • Distribute morning mail to all departments.
  • Meter mail for daily USPS send-outs.
  • Print labels for UPS packages.
  • Replenish funds in the Quadient mail machine.

  

   Supply Management:

  • Order supplies from various vendors including UPS, Iron Mountain, Amazon, and Office Depot.
  • Request Iron Mountain shred bins to be emptied and returned.
  • Request Iron Mountain boxes from the warehouse and manage box pickups.

WHAT THIS PERSON WILL BRING

  • At least 1 year of previous experience in facilities coordination, office management, front desk support or related role
  • Strong organizational and multitasking skills.
  • Must have excellent interpersonal and communication skills and be sensitive, adaptable, professional, and articulate when dealing with others. 
  • Must be a team player, driven to provide highest level of customer service with “can-do, no job too big/small/unimportant” attitude.
  • Knowledge of office services (reception, mail/distribution, supplies, copy rooms, conference rooms).
  • Exercise judgment and discretion with regards to sensitive and confidential matters.
  • Professional behavior and appearance at all times.
  • Skilled in using office management software and tools - Microsoft Outlook, Word, Excel
  • Ability to handle physical tasks such as moving boxes or rearranging office furniture
