    • Finance Reporting
      • Support JLL regional finance to ensure all costs are accurately captured and tracked
    • Operational Finance
      • Goods received & maintaining record of delivery notes
  • Office Management
    • Site Inspection
      • Support to respond and resolve tickets associated with inspection
    • PPM
      • Register vendors for building access including loading bay if necessary
      • Escort vendors
      • Send out Comms in advance to stakeholders
    • Inventory & Storage Management
      • Support admin tasks where applicable
    • Operation Report
      • Maintain operational data to contribute to monthly operational report
    • Building Management
      • Create comms to inform stakeholders on service disruption
    • Visitor Management
      • Support end users to use the system for pre-registration
      • Support on-site registration for ad-hoc visitor
      • Daily inspection in the morning to ensure NocNoc iPad at reception work properly
      • Communicate with Building Management Office (BMO) for building access if necessary
      • Escort visitors to the waiting area
      • Notify end users upon visitor's arrival
      • Support to divert visitors to waiting areas or external meeting rooms to ensure the reception is not crowded with visitors
      • Work with Physical Security Team to ensure there is crowd control where applicable
  • Facilities Management
    • Special Function Room Management
      • Send comms if special-function room is out of order for maintenance
    • Locker Management
      • Send comms periodically to remind stakeholders of locker etiquette
    • Key & Cabinet/Pedestal Management
      • Support admin where applicable
    • Parking Mangement
      • Send Comms to remind application
      • Support admin where applicable
  • Event Management
    • Meeting room/ function room reservation
    • Visitor assistance
      • Support visitor registration with building management/ landlord
      • On-day support to greet and escort if necessary
    • Vendor assistance
      • Arrange gate passes, loading bay, permit-to-work
    • Send Comms for area closure
  • Business Support
    • Workplace Ticketing System
      • Responsible for responding and handling of workplace tickets
      • Respond and resolve issues within SLA timer
      • Proactively provide feedback pertaining to the system's usability, with a view to continuous improvement.
    • Day1 support
      • Room reservation
      • Greet and escort new joiners to the training room for orientation.
    • Access Badge Management
      • Maintain stock of temporary and short-term badges for reception
      • Support stakeholders to activate the badge
      • Support vendor badge application
      • Maintain an in-and-out record for 3rd party Access cards
      • Liaise with landlord/building management to prepare access for stakeholders and disable access upon offboarding
    • Business Card Management
      • Receive business cards and notify end users
      • Maintain pick-up record
  • Stakeholder Engagement
    • Prepare and send comms for official announcement in Office Announcement Group
    • Communicate in Office Life group to extend support on office management
    • Provide service in polite and professional manners
  • Performance Management (KPIs)
    • Understand internal KPI and operate to achieve standard
  • Reception Services
    • Cleaniness and functionality of reception area
      • NocNoc ipad is properly displayed
      • Furniture and decorations are in place aligned with guidelines
    • Reception operator
      • Handle incoming calls following company guidance
      • Take and forward messages to end users
    • Support badge management
      • Provide temporary/short-term badge to end user
      • Support to maintain the inventory of temp/short-term badges
    • Visitor's reception
      • Support on-site registration for external visitors
      • Support pre-registration for stakeholder's request
      • Escort visitors to designated meeting area
      • Inform stakeholders upon visitor's arrival
  • Mail Services
    • Support mail service where applicable
  • Food Services
    • Goods received & maintaining record of delivery notes
  • Environment, Health and Safety (EHS) Responsibilities
    • Comply with all HSE guidelines, policies and requirements.
  • Project Support
    • Support to liaise with landlord/building management for access
    • Support stakeholders to ensure smooth access for the transition
    • Maintain comms to stakeholders to ensure information delivered in timely manners
  • Support and cover operations as instructed by the leaders
