The Associate Director will be responsible for the procurement and strategic development of services and solutions to meet the company’s explosive growth, ideally with five years of expertise in procurement concepts, process, policies and category management expertise in technology (IT), potentially including purchasing of hardware, software, telecommunications, SaaS and services.  The individual will be responsible for the management of new / existing supplier relationships through contract execution, negotiations, renewal, and termination.  Identifying cost savings opportunities as they arise. The successful candidate will have experience in negotiating with strategic suppliers, reviewing agreements, have knowledge of software license concepts. This individual will participate in cross-functional projects  to drive cost improvement and create a value proposition for the enterprise, as such the ability to communicate, organize projects, and lead diverse stakeholders through the procurement process is paramount for success.  

Risk management is at the core of what we do, as such Vendor Governance is woven into the fabric of procurement and strategic sourcing efforts.  The successful candidate may be called upon to assist the vendor on-boarding process, annual diligence review process, raise awareness with the vendor regarding identified concerns, and own action items to remediate identified risks.

Role and responsibilities:

  • Engage in all aspects of day-to-day activities and deliverables of the Vendor Management function, encompassing:

  • Ensure consistency in the way the vendors are engaged across the firm

  • Establish and maintain supplier agreements and supplier relationships to support the firm.

  • Ensure information is accurately and correctly obtained within the Contract Repository.

  • Appropriately Manage contract renewals and terminations.

  • Review contractual language to ensure it meets company guidelines and work with legal team on identifying and remediating issues within contracts.

  • Work in a team environment to implement sourcing practices and strategies in correlation with market trends, business need, and the competitive landscape

  • Assist business owners with requirement definition and how to strategically engage the marketplace to see those requirements fulfilled.

  • Suggest and help to implement process automation/transformation effort in Vendor Management, including preparation of process documentation.

  • Collaborate with the team members to conduct day-to-day activities and deliverables.

  • Able to cross-train other personnel on major tasks across the shared Finance Shared Services functions.

  • Take initiative and manage ad-hoc projects as needed.

  • Able to evaluate what additional information is needed from a request to execute tasks required to bring a transaction to conclusion.

  • Look at Automation Opportunities to reduce manual effort that makes the process more efficient.

  • Basic understanding of contract terms, conditions and structure with an ability to compare/contrast supplier contract offers to show advantages and disadvantages of supplier contract offers.

  • Ability to research the markets they are responsible for to show how supplier offers compete within their market to advise stakeholders on best purchase options

  • Ability to identify and remediate supplier performance issues on behalf of their stakeholders

  • Collaborates with Vendor Management team and stakeholders to identify best practice solutions for the company

Qualifications & Experience

  • 9+ years of experience in Vendor Management, Procurement, Strategic Sourcing or other related function, including review, audit, processing, approval and executionof agreements, administering initiation and review of vendor risk assessments and due diligence, and enforcing and communicating Vendor Management policy and provisions to employees and other internal stakeholders.

  • Strong communication and interpersonal skills. Ability to partner with others and work collaboratively and professionally in the organization to ensure roles and responsibilities are clear and metrics are in place across the control structure.

  • Strong orientation to plan and implement changes to support a transformation agenda of the operations function.

  • Strong analytical skills, able to quickly grasp Vendor Management policy provisions, process implications and recommend tactical activities for ongoing improvement of the function and its operational effectiveness.

  • Strong excel skills and ability to perform simple automation on excel is an added advantage.

  • Highly organized, proactive and efficient in managing and following up on multiple priorities simultaneously.
