Workplace Coordinator

Role Summary

The Workplace Coordinator role will assist the onsite staff with operational activities by providing customer related support and service to enable onsite delivery staff to effectively delivery facility management services. The Workplace Coordinator will also provide broad level administrative support to the site team including procurement and vendor support, finance, residential properties, and site operations support.

Responsibilities

The Workplace Coordinator will be responsible for:

  • Operations Support

    • Assist residential and on-site properties management

    • Provide superior customer service to meet on-site client expectations

    • Provide vendor management support by ensure subcontractors perform to the required standards (including vendor registration)

    • Assist in the procurement of vendors and services as required

    • Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner

    • Provide support for reception duty as required 

    • Perform weekly consumables order; receive and store as required; and provide receipts to PFM for records

    • Communicate with event holder and organize the event space with FM team

    • Organize specialty cleaning as required

    • Management of inventory for offices and residential properties

    • Management of utility report for residential and on-site properties.

    • Management of Corrigo and register system

    • Assist team admin and ad-hoc duty

    • Proven ability to manage multiple and complex operational matters on a daily basis

    • Demonstrates ability to prioritize and manage tasks in an efficient and timely manner

    Experience

    • Worked in a dynamic environment with basic understanding of facilities management

    • Good computer skills in Microsoft Suite programs

    • 2 years’ experience in general workplace administration and coordination
