Job Profile Summary 

The Graduate Program Advisor focuses on guiding master’s students through their academic programs, including managing registration, enrollment, and curriculum planning. This role develops and implements advising processes, tracks student progress, and collaborates with faculty, directors, and external partners to optimize program delivery. Key responsibilities also include analyzing enrollment data, recommending scheduling improvements, and addressing student issues in collaboration with other university departments to ensure student persistence and satisfaction. 

Major Duties and Responsibilities 

Student Registration and Enrollment 

  • Manage the registration process for all BILT graduate students. 

  • Ensure graduate students are properly enrolled in required courses and assist in course selection for degree progression. 

  • Oversee enrollment, course progression, and handbook updates for the MBA program (approximately 70 students). 

  • Oversee enrollment, course progression, and handbook updates for the Graduate IT programs (approximately 130 students). 

  • Oversee enrollment, course progression, and handbook updates for the Graduate Interior Architecture and Design (IAD) programs (approximately 60 students). 

  • Manage communications with new and current undergraduate students regarding course enrollment and program completion requirements. 

Student Retention 

  • Coordinate advising processes with School Directors, ensuring best practices and continuous efficiency improvements. 

  • Develop and manage advising guides for both students and faculty. 

  • Track graduate student progress to ensure timely degree completion and provide proactive support to at-risk students. 

Curriculum and Scheduling 

  • Collaborate with Associate Deans and School Directors to address graduate scheduling issues and curriculum updates. 

  • Create and analyze program enrollment reports to provide data-driven recommendations on course scheduling and curriculum improvements. 

  • Manage the evaluation and transition process for students moving from undergraduate to graduate programs. 

Graduate Student Orientations 

  • Assist School Directors in planning and executing graduate student orientation programs. 

Cross-Departmental Collaboration 

  • Partner with Graduate Admissions to support the student application and enrollment process. 

  • Work collaboratively with key university offices, including Registrar, Student Accounts, Financial Aid, and the Academic Hub, to resolve student concerns related to financial aid, enrollment, and academic standing. 

  • Attend enrollment meetings with external partners to ensure streamlined program operations and support for online and hybrid graduate students. 

Communication, Marketing, and Collaboration 

  • Support internal and external communication efforts, ensuring timely updates and dissemination of critical program information. 

  • Collaborate with university departments and external stakeholders on graduate program initiatives. 

  • Ensure accuracy and consistency in student communications related to advising, registration, and curriculum updates. 

General Administrative Assistance 

  • Provide administrative support for advising, scheduling, and program coordination. 

  • Maintain a welcoming and professional office environment conducive to student engagement and success. 

Job Requirements 

Education 

Bachelors degree required 
Graduate degree in data or analytics field preferred. 

Experience 

2 to 5 years of related experience 

Licenses or Certifications 

None 

Financial Responsibility 

Makes financial decisions within University or accepted accounting guidelines, including review of financial reports, purchasing decisions, contract review/negotiation, etc.  

Supervision 

No 

Special Knowledge 

Knowledge of Workday preferred 

Knowledge of Microsoft Office suite required.
