About This Role

As the Executive Assistant, Global Customer Engagement & Operations (GCE&O), you will provide high-level administrative, operational, and strategic support to the Head of GCE&O. You will play a critical role in ensuring smooth day-to-day operations, enabling effective cross-functional collaboration, and helping leaders focus on strategic priorities. This role goes beyond traditional executive support. You will serve as a trusted partner to senior leadership, coordinating complex activities across a global organization, managing key operational processes, supporting strategic initiatives, and driving continuous improvements that enhance efficiency and collaboration across the GCE&O function.

What You'll Do

  • Provide comprehensive executive support, including proactive calendar management, meeting prioritization, and coordination across multiple time zones

  • Manage complex international travel arrangements, itineraries, expenses, and reconciliations in compliance with company policies

  • Coordinate internal and external meetings, including scheduling, agenda preparation, briefing materials, technology setup, and follow-up actions

  • Facilitate onboarding activities for new team members, ensuring smooth integration into systems, tools, and team processes

  • Support visitor management and hospitality activities, creating a professional and welcoming experience

  • Maintain and continuously improve digital collaboration environments, including SharePoint sites, shared drives, and departmental hubs

  • Manage document control, record retention, archiving, contract routing, and compliance with internal policies and procedures

  • Support procurement and operational activities, including purchase orders, vendor onboarding, and budget monitoring

  • Partner with internal IT teams and external vendors to coordinate technology access, software onboarding, troubleshooting, and hybrid meeting logistics

  • Serve as a professional point of contact for internal and external stakeholders, managing information flow with discretion and confidentiality

  • Prepare communications, presentations, meeting summaries, dashboards, and executive-ready materials

  • Coordinate cross-functional projects and initiatives, tracking milestones, timelines, deliverables, and follow-up actions

  • Proactively identify opportunities to improve administrative processes, operational efficiency, and team collaboration

  • Anticipate challenges, propose solutions, and support senior leaders in managing competing priorities in a fast-paced global environment

Required Skills

  • Minimum 5+ years of experience supporting senior executives or leaders in an international environment

  • Bachelor’s degree required (Business, Economics, Life Sciences, or related field)

  • MBA or advanced degree preferred

  • Fluency in English required; additional languages are an advantage

  • Demonstrated experience in executive support, business administration, or operations management

  • Advanced proficiency with Microsoft 365, including Outlook, Teams, SharePoint, Excel, and PowerPoint

  • Strong experience coordinating projects, managing timelines, and supporting cross-functional initiatives

  • Excellent written and verbal communication skills

  • Proven ability to manage multiple priorities, deadlines, and stakeholders simultaneously

  • Strong organizational skills with exceptional attention to detail and accuracy

  • Experience managing travel logistics, budgets, procurement activities, and vendor coordination

  • Ability to work effectively in a highly matrixed, global environment

  • Strong interpersonal and stakeholder management skills

  • High degree of professionalism, confidentiality, and discretion

  • Proactive, adaptable, and solution-oriented mindset with a continuous improvement approach
