The Freight Specialist (1 year Fixed Term Contract) role serves as the essential administrative anchor for the supply chain. In S&N environment, this position is about support management of the flow of information that connects the warehouse, the carrier and the finance department or any other stakeholder involved in transportation activities.

What will you be doing?

Freight Invoicing & Financial Support (60%):

  • Invoice Auditing & Reporting: Review incoming freight bills for accuracy, comparing invoiced amounts against established rate sheets or spot quotes, this in the different accounting and Freight Auditing platform in place and report accruals monthly.
  • Dispute Management: Identify and resolve billing discrepancies (e.g., incorrect weight charges, fuel surcharge errors) by communicating directly with carrier billing departments.
  • Payment Processing: Code freight invoices to the correct cost centers and route them through the approval workflow for timely payment.
  • Account Reconciliation: Assist the finance team in reconciling monthly carrier statements to ensure no past-due balances.
  • Customs/Duties & Tax fees: manage Purchase requisitions for customs activities linked to freight

Transportation Operations Support

  • Daily Tracking: Monitor the status of outbound shipments to customers and inbound shipments from suppliers; provide regular updates to internal teams.
  • Act as a central point of contact for requests linked to transportation queries
  • Documentation Monitoring & Preparation: verify standard shipping documents, including Bills of Lading (BOL), packing lists, and generate commercial invoices from the ERP.
  • Carrier/Warehouse Coordination: serve as point of contact for carriers and warehouses to schedule pickups and resolve routine transit issues.
  • Data Maintenance: Ensure all shipment data, including carrier tracking numbers and delivery dates, are accurately entered into the different systems used for transportation activities.

Project Support (10%)

  • Support Data Cleansing for System Migrations:
  • Support for Carrier RFP (Request for Proposal)
  • Support Process Documentation: SOPs / Rate cards
  • Freight Spend Analysis: Compiling data in spreadsheets

What will you need to be successful?

  • Degree in Logistics or Transportation, Business or related field. Additional certifications are a plus.
  • 5-10 years of experience in an administrative logistics, shipping or accounts payable role.
  • Advanced knowledge about Transportation executions processes, Freight Rates structures, Customs Process and costs associated for all mode of Transport.
  • Software Proficiency: Strong skills in MS Excel (data entry, sorting, and basic formulas) and experience using an ERP system (SAP).
  • Organizational Skills: Exceptional attention to detail, specifically regarding numerical data and billing codes.
  • Communication: Ability to communicate professionally via email with external vendors and internal departments.
