This Administrative Coordinator, with direction from the Network Director, is responsible for assisting the medical staff organization in complying with regulatory and accrediting agency requirements. The Coordinator assists the President of the Medical Staff, Credentials and Bylaws Committee Chairs and the Senior Vice President for Medical & Academic Affairs in the performance of their duties.

JOB DUTIES AND RESPONSIBILITIES:

  • Medical Staff Department/Committee Management – Specifically support the By-Laws, Credentials and Medical Executive Committees. Responsible for distribution of meeting notices; agenda preparation, in cooperation with chairmen; preparation of information packet; attends committee and general staff meetings as assigned for the purpose of taking minutes.  Submits meeting minutes within 5 business day of meeting

  • President of the Medical Staff - duties include providing the secretarial support required for the fulfillment of the Office’s responsibilities

  • Coordinate Medical Staff meetings with President of the Medical Staff and Supervisor and Manager of the CVO, including scheduling venue and maintaining guest invite list/RSVPs

  • Maintain close communication with CVO Manager and Supervisor, Medical Staff Officers, department and committee chairmen to ensure follow-through in change of hospital policy, medical staff policies and/or committee actions

  • Working knowledge of medical staff by-laws, rules and regulations, TJC, DOH, and NCQA standards and other regulations impacting on medical staff services

  • Coordinates Temporary and Emergency Privilege process

  • Responsible for creating ID badges and replacement badges for providers

  • Responsible for reconciliation of department credit card

  • Works with HR, legal and CVO management regarding VPMA files and requests for information

  • Supports the CVO through faxing, mailing, and emailing of privileging and enrollment documents

PHYSICAL AND SENSORY REQUIREMENTS:       

                                     

Sitting for up to 7 hours per day, 3 hours at a time.  Frequently uses fingers for typing, data entry, etc.  Frequent use of hands.  Uses upper extremities to occasionally lift up to 35 pounds.  Occasionally stoops, bends or reaches above shoulder level.  Hearing as it relates to normal conversation.  Seeing as it relates to general vision, near vision, peripheral vision, and visual monotony.                            

EDUCATION: 

High School graduate with secretarial experience required.  Specialized training up to eighteen months beyond high school preferred.

TRAINING AND EXPERIENCE:

At least two years medical staff experience, working knowledge of medical terminology, and credentialing software experience.
