ABOUT US

We’re the world’s leading provider of secure financial messaging services, headquartered in Belgium. We are the way the world moves value – across borders, through cities and overseas. No other organisation can address the scale, precision, pace and trust that this demands, and we’re proud to support the global economy.

We’re unique too. We were established to find a better way for the global financial community to move value – a reliable, safe and secure approach that the community can trust, completely. We’re always striving to be better and are constantly evolving in an ever-changing landscape, without undermining that trust. Five decades on, our vibrant community reflects the complexity and diversity of the financial ecosystem. We innovate diligently, test exhaustively, then implement fast. In a connected and exciting era, our mission has never been more relevant. Swift now has a presence in 200+ countries and legal territories to serve a community of more than 12,000 banks and financial institutions.

About the role
We are looking for a highly organised and proactive Executive Assistant to provide direct support to our Head of Technology Engineering & Infrastructure and senior leaders across the organisation. This is not a traditional assistant role — you’ll play a key part in enabling our leadership team to run one of the most critical divisions in the company, ensuring smooth operations, prioritisation, and governance at executive level.

What you’ll do

  • Act as the right-hand support for the Head of Technology Engineering & Infrastructure and senior leaders.
  • Manage complex and dynamic calendars, resolving conflicts, and ensuring priorities are clearly surfaced.
  • Coordinate materials and logistics for Executive, Board, and Regulatory meetings.
  • Prepare high-quality documentation and presentations for senior stakeholders.
  • Manage purchase requisitions and liaise with Procurement using SAP systems.
  • Oversee travel and visa arrangements, ensuring smooth and cost-effective trips for leadership.
  • Handle expense claims, tracking, and reporting.
  • Organise and deliver team events, workshops, and leadership off-sites.
  • Support office-wide internal events such as townhalls and workshops.
  • Act as a trusted partner — ensuring confidentiality, discretion, and efficiency at all times.

What we’re looking for

  • 5+ years of experience in executive or senior assistant roles, ideally within a technology or international environment.
  • Outstanding planning, prioritisation, and time-management skills.
  • A natural multitasker who can keep many plates spinning while focusing on what matters most.
  • Strong communication skills, with the ability to engage senior stakeholders.
  • High discretion and ability to manage sensitive information.
  • Confident using MS Office (Outlook, Word, Excel, PowerPoint); experience with SAP is a plus.
  • Professional proficiency in English; additional languages are a plus.
  • A proactive mindset — anticipating needs, spotting opportunities for efficiency, and taking ownership.

Why join us?
You will be supporting leaders who manage one of the most business-critical divisions in our organisation. This is a role where you will have exposure to executive decision-making, regulatory priorities, and strategic projects, while working in an international environment. If you thrive on responsibility, organisation, and enabling leaders to succeed, this is the role for you.
