We are seeking a proactive and detail-oriented Medical Events Coordinator to join our team. In this role, you will coordinate, plan, and execute high-quality medical and scientific events, ensuring compliance with industry regulations and aligning with the company’s communication and branding goals. You will work closely with internal teams, vendors, and healthcare professionals to ensure a professional impact on all event audiences. Additionally, this role involves coordinating logistical support related to business operations and supporting stakeholders as needed.

Responsibilities:

  • Plan and coordinate medical events, conferences, workshops, and scientific seminars, ensuring flawless execution aligned with organizational objectives.

  • Coordinate logistical and support tasks related to the business area’s operations and to the individuals receiving support.

  • Generate reports and maintain organized records of administrative documents.

  • Coordinate and monitor administrative functions for the department.

  • Manage event logistics, including selecting and hiring venues, vendors, and technical resources.

  • Collaborate with the marketing team in product launch events, medical congresses, and events for pharmacy staff, ensuring alignment with P&G’s Event Procedure.

  • Create service/product requisitions (event materials) in Coupa.

  • Coordinate participant registration and event communications, both pre- and post-event.

  • Oversee the production of promotional and educational materials necessary for events, ensuring compliance with branding policies.

  • Collaborate with the marketing and communications teams to promote events and ensure strategic message alignment.

  • Monitor and ensure compliance with applicable regulations and industry standards for medical events.

  • Conduct post-event evaluations and analyze feedback, proposing improvements for future initiatives.

Job Qualifications

  • Experience: Minimum of 4 years of experience in event organization, preferably in the healthcare or pharmaceutical industry.

  • Exceptional organizational and project management skills.

  • Ability to work under pressure and proactively solve problems.

  • Excellent communication and interpersonal skills.

  • Proficiency in event management tools and digital marketing platforms.

  • Familiarity with administrative processes, reporting, and document management.
