Established in 1992, the Wee Kim Wee School of Communication and Information (WKWSCI) is the only full-fledged communication school in Singapore and is a world-class centre of excellence with an international faculty, state-of-the-art research laboratories, and global institutional affiliations.

We are seeking an Executive to support the facilities management of our school. The successful candidate will join the school’s Facilities Management team and will be responsible for ensuring the smooth, safe, and efficient management of the school's facilities, infrastructure, and physical environment. The role encompasses routine maintenance, vendor and contractor coordination, security and safety systems oversight, and logistical support for school events. The incumbent plays a key supporting role in maintaining high facility standards, ensuring operational continuity, and supporting a conducive learning and working environment for students, faculty, and staff.

The job responsibilities include:

1. Facility Maintenance & Inspections

  • Conduct regular (weekly) inspections of buildings, grounds, infrastructure (e.g., plumbing, electrical, HVAC), furniture, and equipment.

  • Document inspection findings and track the rectification of defects.

  • Identify and escalate critical facility issues requiring immediate attention.

2. Repair & Rectification Management

  • Address facility defects promptly and supervise maintenance work conducted by staff or contractors.

  • Manage work requests, monitor progress, and ensure timely completion of repairs.

  • Conduct quality control checks on completed repairs to ensure standards, safety, and durability.

3. Vendor & Contractor Oversight

  • Procure facility-related services by obtaining quotations and assessing vendors.

  • Supervise external contractors and verify invoices against work completed.

  • Maintain effective relationships with service providers, including cleaning, pest control, and security vendors.

4. Cleaning, Pest & Landscaping Services

  • Oversee cleaning services and monitor performance against service standards.

  • Coordinate safe pest control treatments and monitor for pest-related issues.

  • Manage landscaping contractor work and ensure proper upkeep of trees, plants, and grounds.

5. Security Systems & Access Control

  • Manage and maintain CCTV systems, recordings, and related repair coordination.

  • Monitor performance of security access systems (card readers, door locks, key systems).

  • Assist with issuing, tracking, and retrieving physical keys and access cards/fobs.

6. Event & Logistics Support

  • Coordinate and support setups for school events including staging, furniture, equipment, power, lighting, safety, and teardown.

  • Assist with the physical relocation of furniture and equipment for offices, classrooms, events, or storage.

7. Space Planning & Modifications

  • Assist in planning minor room reconfigurations and overseeing small modification or improvement projects.

  • Manage storage spaces, inventory organization, and furniture/equipment allocation.

8. Health, Safety, and Regulatory Compliance

  • Ensure facilities comply with fire, safety, health, and accessibility regulations.

  • Assist in fire safety drills and inspections (e.g., fire extinguishers, signage).

  • Provide emergency support during facility-related incidents (e.g., power outages, leaks, or structural risks).

9. Inventory & Asset Management

  • Maintain records of assets, tools, equipment, keys, and critical spare parts.

  • Track asset locations, usage, conditions, and disposal requirements.

  • Manage pulping of confidential documents in compliance with security protocols.

10. Sustainability & Resource Management

  • Support the implementation of sustainability initiatives related to energy/water efficiency, waste reduction, and green procurement.

  • Promote and monitor environmentally sustainable practices within the premises.

11. Stakeholder Communication & Support

  • Liaise with faculty, staff, students, and administration regarding facility issues, disruptions, and project updates.

  • Provide prompt responses to facility requests and ensure effective communication.

12. Other Duties

  • Provide support for specialized areas including labs and creative spaces to ensure functional readiness.

  • Undertake other tasks as assigned by the School’s management to support operational needs.

The requirements include:

  • Diploma or Degree in Facilities Management, Building Services, Mechanical or Civil Engineering, or related disciplines.

  • The successful candidate would be required to move furniture and handle heavy audio and visual equipment.

  • Preferably at least 2 to 4 years of relevant work experience in facilities management.

  • Knowledge of building systems (HVAC, electrical, plumbing), safety regulations, and preventive maintenance.

  • Strong organisational and coordination skills with attention to detail.

  • Good communication and stakeholder management skills.

  • Ability to supervise vendors, contractors, and manage multiple tasks.

  • Physically able to support event setups and logistics coordination.

  • Knowledge of sustainability practices is an advantage.
