Summary of Job Duties:

The Program Manager assists the Division Directors, Fellowship Director, Division Administrator, and faculty as needed. The candidate will be the first point of contact for the office and assume responsibility for any day-to-day operations.


Qualifications:

  • Bachelor’s degree in business or a related field plus four (4) years of administrative and/or project management experience or

  • High School diploma/GED plus eight (8) years of administrative and/or project management experience required.

Knowledge, Skills & Abilities:

  • 55-70 wpm required.

  • Advanced Microsoft Word and PowerPoint.

  • Experience with Reference Manager highly desirable.   


Additional Information:

Responsibilities:

  • Serves as the lead administrative support for one division of Internal Medicine and is the primary point of contact for that division.

  • Assists the Division Director in planning meetings, keeping the calendar up to date, preparing department letters, documents, lecture slides, etc..

  • Prepares documentation for the annual faculty review process.

  • Assists division faculty at UAMS and CAVHS in coordinating weekly, monthly, and annual meetings.

  • Conducts research as needed for publications and their citations using PubMed and other relevant data sites.

  • Creates and updates(when necessary throughout the month) the monthly on-call schedule for the Division's clinical faculty, fellows, and rotating students on the consult service at both UAMS and CAVHS, distributing the schedule to both UAMS and CAVHS on-call managers, and inputting the schedule into the UAMS On Call system.

  • Responsible for placing clinic blocks and updating the calendar and call schedule.

  • Assists the Division Director in recruiting efforts for new faculty members within the division.

  • Serves as backup to other divisions.  

  • Responsible for the division’s procurement and travel; ordering items such as office supplies, maintenance requests, etc., as well as, request reimbursements with Division Administrator approval via requisition within Workday and Foundation providing all required forms for processing; serve as travel administrator assisting with the travel needs of faculty or annual conferences.

  • Manages documentation for the subspecialty Fellowship Programs needed to comply with Graduate Medical Education accrediting agencies and the UAMS College of Medicine Institutional Director.

  • Assists the program director with instituting and monitoring fellowship program improvements.

  • Coordinates educational and reporting activities for the subspecialty Fellowship Programs to ensure compliance with directives of accrediting agencies.

  • Works with Program Directors to maintain 1 to 3-year didactic curriculums for programs. 

  • Works with Program Directors to schedule in-service examinations and in-house written examinations for fellow assessments and evaluations.

  • Coordinates evaluation processes for the Fellowship Programs to document

  • Attends National meetings for training as needed and within Department travel guidelines.

  • Submits monthly fellows billing data and meal amounts to the house staff office and VA hospital.

  • Assists the Program Directors by facilitating communications with fellowship applicants, and receives and organizes application support documentation. 

  • Maintains applications through ERAS or other means.

  • Assists the Program Directors in scheduling interviews for candidates, and itineraries, and helping facilitate faculty meetings for the selection of fellowship candidates.

  • Assists Program Directors by maintaining documentation of fellows’ research for annual reports.

  • Maintains electronic and paper files of current fellows.

  • Manages visas for current and incoming fellows.

  • Completes verifications of past fellows.

  • Scans paper files of fellows to the shared drive.

  • Serves as backup to other fellowships.

  • Performs other duties as assigned.


Salary Information:
