Job Description Summary:

Responsible for assisting with the Compliance, Quality, and Business Plans for Healthy Families of America and Parent as Teachers. Responsible for evaluation and reporting of various compliance, quality, and business outcomes. Responsible for managing the quantity and quality of information provided through databases and other sources of data. Provides clerical and administrative support to Executive Director and Management team. Also assists the Executive Director in business planning and data analysis for each of the cost centers within the Healthy Start/Healthier Beginnings/TANF program operations. Employee is subject to call back and overtime as required by the hospital.

ESSENTIAL JOB FUNCTIONS:

  • Attend all staff conferences and inter-agency meetings, in-service training, workshops, and participates in other staff development activities.

  • Ensures an efficient, innovative, and positive customer service environment related to Compliance, Quality, and the Business Plan within the Center.

  • Assists the Executive Director with compliance, effective quality improvement and disciplined budget processes.

  • Meets regularly with all business staff and management to ensure compliance to business practices and procedures and cost efficient management of budget.

  • Assists Executive Director in developing initiatives that will maintain an appropriate bottom line for the Center.

  • Assists in establishing and managing vendor related policies and procedures. Collect, sort and open mail for Executive Director and administrative personnel Provide, maintain and coordinates relationships for advisory board meetings. Provide consultation to staff on an as needed basis.

  • Ensure the administration of annual employee evaluations in accordance with the policies of West Tennessee Healthcare.

  • Develop and implement a competency based evaluation tool to monitor skill levels and knowledge base of staff.

  • Provide feedback to Executive Director regarding program needs Responsible for submission of monthly data and reports to state departments and other entities as needed.

  • Responsible for monitoring retention and acceptance rates on a yearly basis. Implements and completes Cultural Sensitivity Workbook on an annual basis. Maintains and monitors licensure requirements for staff as set forth by West Tennessee Healthcare.

  • Provide ongoing evaluation of assessment tools and assessment processes utilized by the staff.

  • Assist Executive Director and accounting staff in preparation of the budget for Grant operations.

  • Develop and maintain policies and procedures regarding the equitable distribution of continuing education resources to the educational programming staff. Ensures each employee has completed the mandatory number of trainings as required by HFA.

  • Contribute to a positive work climate and the overall team effort of the department and hospital, perform related responsibilities as required or directed and greet guest in accordance to our Journey to Excellence principles 

JOB SPECIFICATIONS:

EDUCATION:

  • An Associates Degree in an Allied Health Science field or Bachelor's Degree in Business Management or comparable related business experience is preferred.

EXPERIENCE:

  •  Administrative experience in quality assurance/improvement and site development.

  • Knowledge of the assessment of data, planning and coordination of data systems.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Computer skills with proficiency in Microsoft Word, Excel, and Outlook

  • Skills and knowledge of techniques regarding project and business management is preferred.

  • Excellent verbal communication skills in establishing relationships with key departments in regards to quality outcomes and business environments within West Tennessee Healthcare and Healthy Families of America.

  • Proficient in database management and spreadsheet analysis.
