Job Description:

Summary

This onsite position requires you to work in the mailroom and ensure timely distribution of incoming and outgoing mail to the appropriate departments. To ensure printing and distribution of output are efficiently being sent to various areas of the organization. This role will report to the Director of IT and Office Services.

Hourly rate: $19.84

Key Responsibilities:

· Pick up, compile, and sort the mail for distribution to the various departments

· Maintain email inbox for the department to manage incoming requests

· Ensure all outgoing mail/packages are delivered using the various methods at our disposal (post office, couriers, etc.)

· Prepare all necessary documentation for the delivery of mail/packages depending on its destination

· Ship and receive packages and expedite all “rush” mail

· Operation and ongoing maintenance of the mailroom machinery (postage/mailing machine, inserter, etc.)

· Prepare (insert and mail out) premium notices and letters to our policy holders

· Pick, pack, and distribute office supplies or forms to the departments/branches

· Stock and pull storage boxes at the offsite warehouse, as requested by various departments

· Prepare confidential recycling bins for shredding

· Scanning mail to different departments

· Responsible for ensuring proper maintenance of equipment in the common hardware area

· Other duties as assigned

Education and Experience:

Currently enrolled in College and/or university degree program.

· Must possess the ability to troubleshoot problems and find best available solution.

· The ability to make decisions and act on them in a decisive manner is also required.

· Ability to multi-task in a fast-paced environment.

· Excellent time management, organizational and multitasking skills

· Excellent written and verbal communication skills.

· Ability to communicate with diverse teams and at all levels of the organization.

· French fluency an asset.
