Weekly outpatient therapy isn't always enough, and a trip to the ER isn't the only answer. Patients and their families rely on Compass Health Center when in crisis – every day, we help people overcome depression, anxiety, suicidality, obsessions/compulsions, trauma, chronic pain, and other obstacles in order for our patients to live freely.

About This Role 

As the largest provider of PHP/IOP programs and psychiatric services in Illinois, Compass Health Center is one of the fastest-growing behavioral health organizations in the country. Launching in early 2025, our newest location in Brookfield, WI, will be home to top local talent in behavioral health care. This interdisciplinary team of trailblazers will build our child, adolescent, and adult programs from the ground up alongside the leadership of well-established clinicians and doctors working in PHP/IOP behavioral health care for the past decade.      

As we prepare to open our Brookfield facility, we are seeking an experienced Manager of Operations to join us. This role will work collaboratively with leadership and frontline staff to provide high quality, patient experiences and effective business practices.  

What You’ll Do:  

  • Manage critical operational departments including: Facilities, IT/desktop support, Patient Administration/Registration/Scheduling, Patient Experience, Business Operations 
  • Reporting to the Director of Operations and Clinical Services, this position will manage a team of 5-10 FTEs:  
  • The IT team (~1 desktop support technician) will report centrally through corporate headquarters, but will be locally managed 
  • The Patient Administration team (Patient Care Coordinators, Patient Advocates/Financial Counselors and Schedulers) will report directly to the Director. These functions will be centrally supported (dotted-line reporting structure) for legal paperwork, financial policies, etc. 
  • Patient Experience and Business Operations functions will be the responsibility of the Director of Operations, but will have support from central departments (for example, Patient Satisfaction survey is run out of corporate, but the Director will partner with the corporate team on improvement efforts) 
  • Lead cross-departmental projects by working collaboratively with clinical and operations teams 
  • Ensure efficient and effective new and return patient flow 
  • Support the VP and Site Leader and the Director of Operations and Clinical Services with project management support, data analytics and reporting 
  • Lead technology enablement projects that improve our staff and patient experience. (For example, process mapping to streamline an EHR process flow).  Ability to pick up new systems quickly is important as is the ability to “translate” the technology to the end-user in a digestible format 
  • Coordinates office supplies; responsible for ordering, stocking, organizing and tracking deliveries for office and kitchen supplies. 
  • Coordinates and facilitates onsite deliveries and works with appropriate vendors for ongoing needs. 
  • Assists in improving process whereby leaders and staff can obtain supplies in a timely manner. 
  • Respond to maintenance tickets in a timely manner 
  • Coordinates site specific office furniture and works with appropriate leadership team members for ongoing needs. 
  • Coordinates with finance department to reconcile invoices, track payments, receipts and process invoices. 
  • Oversees onsite maintenance visits. 
  • Ensures comfortable office/facility working environments; including thermostat adjustments and updating facility maps/ interior signage needs. 
  • General clerical duties, including; organizing information by receiving and distributing communications materials; collecting and mailing correspondence; copying/scanning documents; processing FedEx shipments & return labels for documents; and maintaining stock of original facility paperwork/documentation and transposing electronically. 
  • Assists in updating office labeling door discs & seating/furniture plans when needed. 
  • Coordinates schedule for shredding bins and monthly visits. 
  • General office/facility scheduling. 
  • Assist with staff office lunch orders, medical drug representative/prescriber lunches and scheduled tours. 
  • Coordinate new hires including; office seating, badge photos, badge printing, new hire basket & tour building while going over operational procedures for the building. 

Who You Are:  

  • Master's OR Bachelor's Degree in Business or Healthcare Administration or related degree  
  • 3+ Years experience working in healthcare operations management 
  • Strong communication skills: meeting facilitation, written and oral presentations, ability to distill complex information to frontline team 
  • Ability to “think globally, act locally” while leading a team in a matrixed reporting environment 
  • High capability to “managing through influence,” work collaboratively and gain buy-in from cross-functional teams
