About the role
The Workplace Coordinator ensures the smooth, consistent, and highquality operation of the Milan office while supporting additional locations across EMEA. The role requires strong ownership, excellent communication skills, and the ability to deliver a bestinclass workplace experience with minimal oversight.
This position acts as the onsite point of contact for employees, vendors, and internal teams, ensuring the workspace is functional, safe, and aligned with EMEA Facilities standards. You will report to the Senior Facilities Manager EMEA (based in Amsterdam), be based onsite at our office in Milan, be fluent in English.
Key Responsibilities
Operational Excellence
- Ensure daytoday workplace operations run smoothly, consistently, and proactively, without the need for close oversight.
- Reduce operational issues and minimise stakeholder escalations through strong followthrough and problem solving.
- Perform quarterly workplace audits, reporting performance, risks, and improvements to the Senior Facilities Team.
- Provide reception coverage during PTO, lunches, or peak demand to maintain seamless service.
Facilities & Vendor Management
- Ensure all vendors adhere to contractual obligations, SLAs, and KPIs; escalate gaps and drive corrective actions.
- Oversee cleaning, maintenance, security, and soft services delivery to ensure a safe, functional, and welcoming environment.
- Manage onsite breakfix tasks, workplace enablement activities, and small projects in partnership with the regional FM team.
- Monitor space functionality and cleanliness standards in line with EMEA KPIs.
Procurement & Financial Processes
- Own the procuretopay lifecycle for the Milan office, including PO creation, invoice processing, and supplier coordination.
- Run light RFIs when required to support operational sourcing decisions.
- Ensure reception and site-level operations remain within the consumables budget (pantry, office supplies) and maintain accurate tracking.
Workplace Experience & Communications
- Own all site communication processes, ensuring proactive and reactive updates are delivered in line with EMEA communication standards.
- Draft clear, concise, and professional space communications, including urgent notices and leadershiplevel messages.
- Partner with the Internal HR & Engagement team to support and execute onsite employee events aligned with the regional engagement strategy.
Logistics & Space Management
- Oversee goodsin / goodsout processes, ensuring compliance with Facilities, Security, and Profit Protection standards.
- Support space planning initiatives, utilisation reviews, and workplace programming.
- Collaborate with the broader facilities team on upgrades, enablement works, and crossfunctional workplace improvements.
Health, Safety & Compliance
- Support the deployment, and onsite implementation of Health & Safety policies.
- Manage the Milan site safety team, ensuring drills, documentation, and compliance actions are completed.
- Identify operational risks and propose practical mitigation actions.
Regional Support
- Collaborate closely with the EMEA Facilities Team to support additional locations when required.
- Contribute to regional alignment, knowledge sharing, and standardization of processes across EMEA.
Skills & Experience
- Fluent English (written and spoken) — essential for daily regional communication.
- Experience in Facilities Management, Workplace Experience, or Operations (corporate environment preferred).
- Strong organizational, multitasking, and problemsolving skills.
- Ability to work independently, take ownership, and maintain a highquality standard with limited oversight.
- Strong communication skills and comfort engaging with stakeholders at all levels.
- Experience with vendors, contractors, or supplier coordination.
- Familiarity with H&S responsibilities, workplace tools, and FM processes (desirable).

- Employee events and engagement run smoothly, aligned with the regional strategy and receiving positive feedback.
- Regional alignment strengthens, with Milan serving as a dependable and wellrun site that reduces operational burden on the wider EMEA team.
- The Workplace Coordinator becomes a trusted point of contact, known for reliability, followthrough, and consistent delivery.
