Specialist, Leasing Operations – Heredia, Costa Rica

The Leasing Operations Specialist plays a key role in ensuring MSR’s centralized marketed properties achieve and maintain a syndication rates while also managing and optimizing rental property listings across MLS platforms and other marketing channels. This position partners with leasing, construction, marketing, and broker/agent teams to resolve obstacles impacting listing quality, access, and commission workflows while maintaining high-quality, accurate, and timely information across all systems.

About the Role

As a Leasing Operations Specialist at MSR, you will support our property marketing and broker operations by owning the listing process from creation through optimization, ensuring listings are accurate, visually appealing, and widely visible across all platforms. You will coordinate with internal teams and vendors to gather details and media, serve as a liaison with MLS and syndication partners to maintain compliance and resolve issues, and support agent workflows through access and commission processing while delivering professional service via phone, chat, and email.

Key Responsibilities

  • Prepare, create, update, and maintain property listings across all syndication and MLS platforms (MSR website, Salesforce, Rently, MLS, Zillow, etc.), ensuring accuracy, completeness, and compliance with company and platform standards.
  • Listing Management: Own the end-to-end listing process from intake through publish, refresh, and removal as needed to keep inventory current.
  • Content Optimization: Partner with leasing, marketing, construction, photographers, and other stakeholders to gather and refine property details, amenities, photos, and media to ensure homes are market-ready and compelling.
  • Platform Liaison: Serve as the point of contact for MLS and syndication platforms, staying informed on updates, requirements, and best practices, and troubleshooting publishing/visibility issues.
  • Quality Assurance: Monitor, audit, and maintain listing quality; promptly correct discrepancies, inaccuracies, or missing information.
  • Queue & Ticket Management: Manage the syndication support queue and related tickets; document actions, approvals, and resolutions in the appropriate systems for audit and reporting.
  • Broker/Agent Support: Provide professional assistance to agents regarding listings, access, payments, commissions, and general inquiries via phone, chat, and email, maintaining high service and communication standards.
  • Access Request Coordination: Manage Rently and Welcome Home (WH) access requests, including setup, updates, and troubleshooting, with precise documentation.
  • Commission Invoice Management: Review, process, and document agent commission invoices accurately, ensuring alignment with procedures and approval workflows.
  • System & Process Improvement: Utilize Yardi, Salesforce, Jira, Ujet, Outlook, and other tools to manage workflows, log activity, and maintain data integrity; assist in updating SOPs and participate in training and process improvement initiatives.

Qualifications

  • High School Graduate.

  • Proficient in Microsoft 365 tools.

  • Strong English written and verbal skills.

  • Detail oriented and analytic skills.

  • Ability to perform repetitive work in a diligent manner.

  • Salesforce knowledge preferred; experience with ticketing/workflow tools (e.g., Jira) and commission/financial workflows a plus.

  • Yardi experience preferred but not required (Yardi Voyager a plus).
