What this opportunity involves:

Working across one of our major banking clients, your key focus will be providing only the highest level of client service. You will assist be responsible for administration tasks relating to payment of rent and outgoings, ensure all lease agreements are abstracted accurately and on time, enforce both ours and the clients strict governance processes & monthly reporting obligations.

This role offers 2 days per week work from home. 

Snapshot of the role

A high degree of independence is required on a day-to-day basis, primary duties and responsibilities include the following:

  • Preparedness to develop a strong understanding of the property management database system Portfolio;
  • Invoice management – review and manual processing of outgoings;
  • Reconciliations of outgoings budgets and wash ups annually, and accounts and general arrears queries;
  • General administrative tasks such as filing, responding to enquiries and customer service;
  • Data entry and Excel spreadsheet analysis;
  • Receive change requests from internal teams, and check and ensure internal governance complied with prior to being actioned;
  • Assist with distribution of insurance certificates;
  • Assist in the budgeting, monthly forecasting and accruals process and provide financial data to stakeholders as required;
  • Verify accuracy of a sample of rent reviews as actioned by offshore team;
  • Review and validate accuracy of monthly rent roll variances and provide commentary on changes;
  • Assist with mentoring and training of new staff;
  • Maintaining Trackers ensuring they remain up to date and complete to document and manage critical actions;
  • In consultation with Property Management, ensure Vendor and Landlord details are maintained and updated as required, with all required governance documents in place and verified.

  • Superior attention to detail and high regard for quality standards;
  • Demonstrated ability to maintain and manage accurate data;
  • Excellent written and verbal communication skills;
  • Sound computer skills in Excel and data software;
  • Work strongly both independently as well as in a team.
  • Financial acumen to enable monthly reporting and meet financial targets;
  • Demonstrated ability to prioritise high volume work within tight, operational and financial deadlines;
  • Strong organizational and interpersonal skills;
  • Positive approach/attitude to meeting internal stakeholder needs;
  • Capacity to support and manage change;
  • Have the ability to understand and interpret commercial contracts (preferably real estate leases).
