Job Description:

  • Role title: Medical Administration Office - Medicine Hub

  • Role type: Permanent Part Time (3 days per week)

  • Role grade: Administration Officer Level 3 (Year1-2)

  • Department and location:  Medicine Hub, St Vincent’s Hospital, Darlinghurst

  • Salary: $68,338.78- $70,468.73 (pro-rata) + super + salary packaging

About the role

  • Provide Multitask Support Across Clinics: Deliver high-level administrative assistance to the Medicine Hub and Outpatient Clinics, supporting both day-to-day operations and management structures to ensure smooth and efficient workflows.

  • Clinic & Practitioner Coordination: Act as a key point of contact between patients and clinicians, managing communication, appointment scheduling, and reducing the risk of booking errors.

  • Diverse Administrative Duties: Handle a variety of admin tasks including filing, scanning, patient correspondence, and clinician requests, ensuring all work is completed accurately and in a timely manner.

  • Proactive Issue Escalation: Monitor clinic operations closely and escalate any issues or concerns to the Practice Manager to ensure fast resolution and continuous support.

  • Collaborative & Organised Approach: Work positively and proactively within a team environment, maintaining knowledge across all clinic operations while managing multiple tasks with strong organisational skills.

About you

  • Relevant Qualifications & Experience: You’ll bring qualifications in Health Service Management or Administration and/or proven experience in a medical clinic setting, with a strong understanding of clinic operations and patient-focused care.

  • Fast-Paced Medical Admin Expertise: You have hands-on experience supporting clinicians and working within a busy medical administration team, managing day-to-day needs with professionalism and efficiency.

  • Strong Communication & Team Collaboration: You’re an excellent communicator who contributes to a well-organised team environment, helping ensure daily operations run smoothly for both staff and patients.

  • Proactive and Patient-Focused: You actively manage patient expectations, support colleagues with daily tasks, and consistently aim to enhance the overall patient experience in line with clinician goals.

  • Detail-Oriented and Reliable: Your organisational skills and high attention to detail ensure all administrative tasks are completed accurately, whether you’re working independently or as part of a large, dynamic team.
