This is a contractor role, with a fixed term period of contract.

The candidate will be hired through a vendor.

What You Will Achieve 

You’ll have a key role to play in an organization that has people at its heart.

In support to the People Experience and GBS HR Core Services teams, you will be supporting HR operational tasks for Romania, working with colleagues and supervisors in and above Country.

As an HR Specialist (Full Time), your focus on the job will contribute to achieving project tasks and goals. 

RESPONSABILITIES:

Hire process:                                                                          

  • Communication with the candidate for necessary documents, also sending papers for medical exam; 
  • Preparation of labor contract, annexes, declaration (in local language); 
  • Signature process with the new employee – before the effective/started date;      
  • Sending necessary data to register the employee in Workday, Revisal, Time & Attendance (in local language);                                                                       
  • Filling up the personnel file with all the documents.

HR on-boarding session:                                                   

  • Communication with relevant personnel for on-boarding, and also with the vendor for the Health and Work security topic; 
  •    Delivery of the onboarding session for HR, including training for the TA Application – the training materials will be provided to the new hires.

Issue HR documents:             

  • Ask for Certificates to be provided by the external supplier for: Employment, Medic / Doctor, Suspension, Pregnancy, Health Contribution, Unemployment, Salary, Visa, bank & other institutions, colleagues’ seniority in Pfizer;              
  • Obtain the signatures for these certificates and provide the documents to the requestors, after registering them in the Pfizer Romania register.

Contractual Changes:                          

  • Creation of necessary addendums;                      
  • Selection of Romanian position title based on Pfizer instruction and in accordance with Occupational Code in Romania;                   
  • Signing all the addendums with the employees;   
  • Sending necessary data to register the change in Workday to update Revisal, Time & Attendance;  
  • Annual merit increase, preparing the addendums to the labor contract for each employee, obtain CM signature and employee signature and archiving one copy in personnel file.

Termination process:         

  • Registration of resignation/termination request;                                 
  • Creation of the clearance note;                                                             
  • Calculation of untaken vacation days;                                         
  • Sending data to update Time & Attendance;                               
  • Signing and provide employees the termination documents;       
  • Filling up the personnel file with all the documents.

OTHER HR: Events/activities:                                                                                                        

  • Ask the external supplier to prepare the documents related to maternity leaves notification, suspension and creation of clearance notes and decision, for Pfizer employee;  
  • Obtain signatures for these documents, register them in Pfizer Romania register and provide the documents to the colleagues;                                                
  • Collects the medical certificates during the month and send them to be registered for the payroll calculation to  the payroll Provider. Keeping the evidence of the medical leave certificates and reconciliation with the data from T&A;                
  • prepare a list of seniority and sent to time & attendance vendor to update the vacation quota/entitlement at Beneficiary request (for both Pfizer HC and contractors);    
  • Health and safety instructions;      
  • Manage Time & Attendance communication to employees and to the payroll provider;   
  • Communication with benefits providers;                                            
  • Create Purchase Orders/E-pay for HR related activities;                 
  • Monitoring of the HR Operation mailbox and answering to the requests/questions received;  
  • Annual medical check-up.

Reporting Activity:  

  • Preparing the reports needed for Payroll.

HR Process documentation maintenance:                                             

  • Make sure all work instructions on the HR processes/tasks delivered are recorded and maintained during time.

QUALIFICATIONS:

Must-Have: 

  • Native or C2 level in Romanian (written and verbal);
  • B2-C2 level in English (written and verbal);
  • Bachelor's Degree;
  • Proficient in MS Office;  
  • Possesses a positive, continuous improvement mindset;
  • Experience or demonstrated capability to work as a team member in a Multinational Company;
  • Full-Time;
  • On site presence 3 days per week (minimum), in alignment to Company policy.
