Position Summary
The Student Services Support Specialist (Seasonal) for the Hybrid JD program plays a key role in ensuring smooth transitions between academic terms, with a primary focus on finals, grade submissions, material creation, distribution, and the start of the new semester. This role provides essential administrative support to the Student Services Coordinator and the student services team during the busiest times of the academic calendar. The Specialist will assist with semester transitions, including preparing for finals week, distributing exam materials, and supporting grading processes, as well as ensuring that all logistical needs are met for the beginning of the next semester. This is a recurring, part-time position that occurs three times a year, ideal for someone looking for flexible but structured work.
Key Responsibilities
Semester Transition & Finals Support
- Finals Preparation & Distribution: Assist in preparing and distributing exam materials (e.g., rubrics, exam numbers, and schedules) for faculty and students.
- Grade Submission Assistance: Support faculty with final grade submissions and ensure follow-up on any missing grades.
- Student Record Updates: Assist in updating student records, ensuring the timely processing of grades, attendance, and other student documentation.
- Attendance & Exam Tracking: Monitor attendance, track exam-related materials, and ensure that exam records are properly maintained.
Material Creation & Communication
- Academic Material Creation: Prepare and distribute digital academic packets and residency materials for students and faculty.
- Student & Faculty Communication: Draft and send communications regarding finals, grade releases, orientation, and residency information to students and faculty.
- Student Gateway Management: Update the Student Gateway platform with current semester content, course materials, and important announcements as instructed.
Event & Residency Support
- Event Logistics: Assist in the coordination of events such as finals, orientation, Legal Boot Camp, and monthly residency events. This includes supporting administrative tasks, tracking registrations, and providing logistical support for virtual and in-person events.
Early Semester Support
- Orientation and Program Start: Help prepare for and execute orientation activities and assist with the beginning of the semester. This includes creating and distributing orientation materials, tracking attendance, and assisting with any student and staff concerns during the early weeks of the term.
- Student Services Software Management: Assist in the administration of student services software (e.g., Canvas, CampusVue, ExamSoft, and Workday) to ensure proper tracking and resource distribution.
Required Skills & Competencies
- Organizational Skills: Highly organized with the ability to manage multiple tasks under tight deadlines, especially during peak academic periods.
- Communication Skills: Strong written and verbal communication skills, with an ability to professionally interact with faculty, students, and administration.
- Customer Service & Problem-Solving: A proactive approach to addressing student inquiries and resolving issues as they arise.
- Tech-Savvy: Proficiency with learning management systems (Canvas), student information systems (CampusVue), and administrative tools (ExamSoft, Examplify, Microsoft Office Suite, Workday).
- Attention to Detail: Ability to work with precision, especially when handling sensitive student data and ensuring compliance with academic standards.
Qualifications
- Education: Associate’s or Bachelor’s degree (or equivalent experience) in education, student services, or administrative support.
- Experience: 1–3 years of experience in a student services, administrative, or academic setting preferred, but not required.
- Availability: Must be available during peak periods of the academic year for 3 seasonal cycles (8–9 weeks each), specifically:
- Mid-March to Mid-May (end of spring semester/start of summer)
- Mid-July to Mid-September (end of summer semester/start of fall)
- Mid-November to Mid-January (end of fall semester/start of spring)
- Technical Skills: Proficiency with Microsoft Office (Word, Excel, PowerPoint) and familiarity with educational software such as Canvas, CampusVue, and ExamSoft.
Compensation & Benefits
This opportunity is budgeted at $$28/hr base compensation. Additional compensation factors may impact total compensation.
