What you will do:

Under direct supervision, assists the sales force to ensure consistent and timely responses to our customer’s needs.  Work with Sales Leadership and Sales Team to help organize internal and external events for customers. Assist Sales Leadership with the organization of key metric reports, particularly in Microsoft Excel and Power BI. Work with the sales and operations teams to perform and/or expedite the contract booking process. Support the sales team’s administrative needs to facilitate quality customer interaction. Provides back up customer call handling, as needed.  Provides administrative, day to day support in sales areas.

How you will do it:

  • Assists sales management in maintaining integrity of CRM database including forecast reports, opportunity reports, opportunity assignments, maintenance etc.
  • Expedites the contract booking process by following up on any credit holds, customer account setups, contract documentation and signatures.
  • Ensures specific business group requirements for contract booking approvals are met and DoA approvals are obtained per the Building Efficiency Global Authorized Approval Matrix.  Provide guidance to sales force on DoA matrix interpretation and delegation of authority resource tool.
  • Ensures all contract paperwork is complete, including following up on Letter of Intents, issuance of bid bonds, certificates of insurance, payment/performance bonds, prequalification questionnaires and ordering legal paperwork and forms to aid in finalization of contract award.
  • Provide assistance in the preparation of customer proposals.  Preparation of PowerPoint presentations, letters, spreadsheets, etc.
  • Maintain stock of sales brochures and supplies.
  • Assists in coordinating customer visits to branch or headquarters as needed.
  • Provide additional sales administration support, as required.

  • Must be organized with regards to file storage, file folder organization, and task management.
  • Must have the ability to simultaneously handle a large and diverse number of projects, tasks and issues with tact, cooperation, and persistence.
  • Ability to prioritize work activities based upon financial impact to desired business goals.
  • Experience and/or basic project accounting or costing principals is desired.
  • Bachelor’s degree preferred, high school diploma or equivalent required, plus one to two years of related work experience, preferably within a service / sales, or technical work environment.
  • Must have proficient computer skills within the following applications: Advanced Microsoft Word, Excel, ACCESS, Desktop Publishing and Internet business application usage.
  • Must demonstrate the ability to perform work independently and demonstrate solid organizational and attention to detail skills.
