The HR Representative performs a variety of clerical/administrative duties in support of the Human Resources department. In coordination with the HR Manager, the incumbent assists with implementation of Human Resources programs and practices including recruiting, onboarding, training, benefits and related programs for the site.
Essential Functions:
Answering main phone line which includes answering questions, transferring to appropriate party, and taking messages
Coordinate with supervisors to assist employees with benefit enrollment/changes, boot and eye glasses vouchers, leaves, and all system questions
Coordinate and participate in new employee orientation
Log trainings into internal LMS system
Manage and track uniforms
Enter and track safety purchases
Track and follow-up with corrective actions, reviews, and check-ins
Review and process time sheets for approximately 500 employees and verifying documentation related to absences
Assist with recruiting efforts, job fairs, pre-screening, tracking requisition process to closure
Maintain employee personnel files and assist with maintenance of online employee records through Workday: pay rate changes, leaves, and other personnel status updates
Update Zoom boards as needed
Plan celebrations and coordinate with vendors for meals, venue, etc., as needed
Other duties as assigned and needed
Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):
High School diploma and 2+ years of work/educational experience
General knowledge of Human Resources policies and procedures including EEO, AAP and other legal aspects of the HR function
Strong working knowledge of Microsoft Word, Excel, PowerPoint and Outlook
Excellent communication, organizational, analytical and interpersonal skills
The ability to pay attention to detail and follow work instructions
The ability to be discrete in any confidential HR areas such as payroll, employee issues or concerns, and competitive company information
Ability to independently manage multiple projects and priorities within a fast pace environment
Work effectively in a team environment with all levels of the organization
Ability to create, foster and grow business relationships with management and team members
Highly Qualified Candidates Will Also Possess These Qualifications:
Associate’s Degree preferred
Minimum of 2 years’ experience in an HR related position
Prior experience with HRIS systems
Working Environment and Physical Efforts:
Work is typically performed in an office setting. The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings. This position will be exposed to all hazards located at manufacturing sites including noise, fumes, excessive heat/cold, dust, welding arc, all chemicals associated with the manufacturing areas, smoke and confined spaces. Travel as needed between Tulsa and Claremore facilities.
The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer. The employee is occasionally required to move about the office. Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrists rests. The employee must occasionally lift and/or move up to 25 pounds in working with large files, binders, and boxes of paper. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
