As Facilities Events Manager, you will oversee and coordinate all client business events and workplace activities across the site, including fitness and sport initiatives. You will ensure exceptional service delivery and client satisfaction, acting as the main resource for facilities-related operations and supported by the facilities team, reporting directly to senior facilities management.

Key Responsibilities

  • Promote a high level of client satisfaction by promptly responding to event, fitness, and facilities service requests, building relationships with stakeholders, landlords, and vendors.
  • Act as the primary point of contact for all client events and on-site activities, including managing IT systems (ticketing, event admin tools) and overseeing logistics for events, fitness classes, and sport activities, such as organizing spaces and coordinating amenities.
  • Direct and coordinate multi-skilled service partners and external contractors, ensuring fitness and sport facilities, events, and equipment are properly scheduled, maintained, and staffed according to standards.
  • Lead planning meetings with clients, vendors, and fitness instructors; resolve any issues related to janitorial, parking, conference room setups, sports areas, fitness equipment, and furnishings; support guests, visitors, and employees with reservations and event/activity inquiries.
  • Conduct regular quality audits of event, sport, and fitness spaces; maintain event and activity diaries; produce reports for JLL and client management.
  • Work collaboratively with the facilities team to maintain all office, sport, and fitness areas to a high standard, ensuring safety and contractor management procedures are followed, including completion of maintenance within SLA timeframes.

Working Life

  • Operate across a large office site, supporting not only business events but also fitness and sports programs for employee well-being.
  • English is the main business language, and shift work over a 5-day week is standard. Occasional weekend work may be required as scheduled.

About You

  • You have experience in event management, facilities, hospitality, or related industries—including organizing fitness or sport activities—and are motivated to expand your skills further.
  • You are an effective team collaborator, adept at multitasking and project management, with a passion for promoting employee well-being through sport and active workplace initiatives.
  • You keep up with industry trends, communicate professionally and openly, and consistently strive for service excellence, sharing ideas and continuous improvements.
  • You are proficient in MS Word and Excel, comfortable with technology, and adaptable to a dynamic environment and variable daily duties.
