What is the Corporate Real Estate & Facilities team responsible for?

Corporate Real Estate and Facilities ensures that our owned and leased offices are inviting and engaging to our clients and over nine thousand Franklin Templeton (FT) employees across the globe. We keep day-to-day operations running smoothly and enable collaboration and innovation by supporting on-site services and a dynamic work environment. We build strong internal and external relationships essential to supporting the success of our operations.

What is the Corporate Facilities Administrative Associate responsible for?

We are excited to welcome a dynamic Corporate Facilities Administrative Associate to our team. We are seeking someone with exceptional computer skills, a positive and outgoing personality, and a genuine passion for working with both a vibrant team and communicating with our customers. The ideal candidate will have a solid background in administrative and customer service support.

What are the ongoing responsibilities of a Corporate Facilities Administrative Associate?

  • The successful candidate will be a key member of the administrative operations team that reports directly to the Facilities Manager and supports the department as required.

  • This position plays a crucial role in monitoring shared mailboxes. The responsibilities will include handling general maintenance requests and card access requests, providing essential support to both Franklin Templeton and the Specialists Investment Managers (SIMs).

  • This position plays a key role in managing and maintaining our work order management and card access systems.

  • Work closely with the receptionists regarding conference room reservations and employee events.  This position will be responsible for responding to all reservation requests and efficiently manage and oversee confirmed reservations, ensuring that each reservation complies with our established procedures.

  • Support invoice processing through coding, submission and tracking through the accounting system.

  • Submit monthly expense management reports.

  • Provide additional support as needed to the CRE&F global team encompassing lease administration, facility management and operations, project management, planning and design, environmental, health and safety, and finance.

  • Ensure the consistent and up-to-date maintenance of content on our CRE&F internal website (SharePoint).

  • Efficiently track and maintain Certificates of Insurance to ensure the latest records on file are up to date and meet our minimum requirements.

  • Assist with onboarding new tenants by providing guidance and assistance with our policy and procedures.

  • Actively participate in special projects as needed to help achieve our goals effectively.

  • Send new vendor information to reception to update the vendor list.

What ideal qualifications, skills & experience would help someone to be successful?

  • Self-starter that enjoys working in a fast-paced environment, strong commitment to deadlines and team.

  • Highly organized and process oriented with a strong sense of ownership in their work and has a superior skill set managing multiple job tasks simultaneously.

  • Requires superior interpersonal and communication skills, and the ability to develop and maintain good working relationships with employees, tenants, vendors, etc.

  • Strong planning, time management, and organizational skills, along with a high attention to detail.

  • Proficient with Microsoft Office 365 (including Excel, Word, PowerPoint, SharePoint, Teams, OneDrive)

  • 3+ years of experience working in an administrative/office environment and demonstrated customer service experience.

Along with base compensation, other compensation is offered such as a discretionary bonus, 401k plan, health insurance, and other perks. There are several factors taken into consideration in making compensation decisions including but not limited to location, job-related knowledge, skills, and experience. At Franklin Templeton, we apply a total reward philosophy where all aspects of compensation and benefits are taken into consideration in determining compensation. We expect the salary for this position to range between $55,000.00 - $65,000.00.
