Your role
Student Administration Officers are responsible for utilising the systems and processes involved in administering all aspects of students’ enrolment from first enrolment to graduation. This includes but is not limited to processing student enrolments and enrolment variations, coordinating charges and issuing tuition fees, supporting insurance and visa applications, and supporting student examinations and graduations. This position will be responsible for resolving student administration issues as well as all associated tasks that fall under RMIT Vietnam’s policy and procedural framework.
Student Administration Officers are part of the Registrar’s team at RMIT Vietnam and work closely with staff in the Academic Registrar’s Group (ARG) in Australia. Officers may specialise in one or more areas or may rotate across areas of responsibility.

Key Accountabilities
Manage Student Records and Data Integrity
Maintain accurate student records and perform high-quality data entry in RMIT Student Record Systems.
Ensure all student information is entered and verified with a high level of accuracy.
Manage student documentation to ensure it is complete, accurate, and handled in accordance with confidentiality and privacy standards.
Collect and analyse data related to student administration operations to support continuous improvement in processes and service quality.
Administer Student Administration Processes
Administer core student administration tasks, including enrolments, enrolment variations, and related forms throughout the student lifecycle.
Support document preparation for visa applications. Ensuring documentation is complete, accurate, and submitted within required timelines.
Support student visa processes, including visa entry, extension, and cancellation, in compliance with relevant immigration regulations and university policies.
Receive visa extension and cancellation documents from Student Connect, support processing, and hand over outcomes back to Student Connect. Deliver entry visa outcomes to students and International Officers.
Provide guidance to students on visa processes and timelines, offering administrative visa support as needed.
Travel as required to facilitate visa submissions, including lodging documents and collecting visa outcomes.
Maintain accurate records of visa-related documentation.
Process documentation and training
Maintain up-to-date knowledge of student administration policies and procedures.
Ensure operational guidelines for student administration processes are current and accessible.
Resolve complex procedural and client service issues and provide policy and procedural advice to Student Administration colleagues and RMIT Connect.
Contribute to training sessions and initiatives aimed at enhancing student experience and administrative efficiency.
Team administration & communication:
Maintain frequent and effective communication with Student Admissions Coordinators, Student Advisors (within the RMIT Connect), Student Recruitment and Schools to ensure student records, enrolments, and other student lifecycle tasks are processed efficiently and with minimal errors.
Ensure regular maintenance of content for Student Administration related information and forms on the University website for student use.
Support team administration and logistics for team meetings, travelling, payment process and engage in other activities as required.
Manage student and stakeholder expectations to make sure tasks are delivered effectively and meet deadlines.
Undertake other duties as directed by the supervisor or manager, aligned with the scope of the role and operational needs of the team.
Key Selection Criteria
Bachelor's degree in business administration or relevant discipline with equivalent work experience.
Minimum of one year of experience in administrative systems and processes, with three years preferred.
Demonstrated experience in a complex customer service environment.
Skilled in the use of Microsoft Word, Excel, Outlook, and PowerPoint.
Keen attention to detail and accuracy when inputting data and managing information.
Ability to work independently with minimal supervision and as part of a team.
Demonstrated ability in effective communicating with people at all levels and areas including students, academic staff, and management, as well as with people in industry and local authorities.
Ability to display appropriate behaviours in line with the position, as per the RMIT Behavioural Capability Framework (Inclusion, Imagination, Integrity, Courage, Passion, Impact)
Willingness to take ownership and full responsibility of key projects assigned by direct supervisor
Possess a student-centred mindset with positive attitude towards teamwork and personal achievement.

English Proficiency
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 5.5 (or equivalent CEST 150).
