JOB DESCRIPTION

The Finance Associate is responsible for a variety of administrative and financial support duties. This role is primarily based at reception and serves as the first point of contact for visitors and incoming inquiries. In addition to front-facing responsibilities, the role supports departmental objectives through vendor chargebacks, financial documentation, and general finance administration.

Roles and Responsibilities:

Daily responsibilities may include:

  • Performing reception duties, including greeting and assisting visitors and managing incoming inquiries

  • Processing customer credits and billing requests end-to-end (including accurate calculations, coding, and chargebacks)

  • Completing vendor chargebacks and preparing all required supporting documentation

  • Preparing and maintaining monthly vendor reports (e.g., contract pricing deductions)

  • Scanning and filing financial documentation into OpenText (document retention system)

  • Managing customer cheque deposits, including reviewing payments for accuracy and completeness

  • Preparing and distributing documentation to support local customer rebate payments

  • Attending meetings as required

  • Communicating effectively with stakeholders regarding deficiencies or irregularities in standard processes

  • Managing a portfolio of finance administrative tasks, as assigned by the Finance Manager, which may include primary or backup responsibilities in areas such as pricing, reception, accounts receivable, cash handling, or document imaging

  • Assisting with customer pick-ups, including lifting and sorting products (up to 50 lbs)

Health, Safety, and Compliance:

  • Complying with company Food Safety policies and procedures to ensure food safety, quality, and regulatory requirements are met

  • Working safely with minimal environmental impact and promptly reporting hazards, incidents, or environmental concerns to a supervisor

  • Taking an active role in personal and team safety by identifying and speaking up about workplace hazards

  • Performing other duties as assigned

Qualifications:

  • 1–2 years of experience in a warehouse, customer service, or office environment

  • High school diploma or GED required

  • Basic math and reading comprehension skills

  • Proficiency with PC applications (e.g., Microsoft Office, data entry/keyboarding)
