Position Summary:
The staffing coordinator supervises, coordinates and monitors administrative and financial records for the assigned nursing department(s); specifically, maintenance of all scheduling functions for the department staff. Serves as the administrative liaison for the assigned nursing department(s).
Essential Duties:
Manages Central Maine Healthcare time and attendance software in collaboration with nurse leaders. Coordinates timeliness for staff schedules with staff and leaders for upcoming schedules. Ensures that schedules are accurately displaying in the time and attendance software by making daily schedule alterations.
Facilitates the defined process for scheduling preparation, schedule posting, daily staffing sheets and exception logs.
Tracks and collects employee’ hours; reviews employee hours against the scheduled time to work, tracks leaves and vacation/sick time for nursing and mental health specialists.
Ensure that staff are coded to their specific assigned role on any given shift including charge, preceptor, orientation, and training pay codes. Updates weekly timesheets for leader/director review, and in the absence of leader/director, submits timesheets to Payroll Department.
Serves as first point of contact for payroll questions and corrections for all department employees.
Works with leaders and staff to resolve employee payroll issues, drawing on appropriate resources.
Deals discretely with confidential information concerning professional and patient issues including correspondence, test results, billing data, etc.
Creates reports, spreadsheets, presentations and other correspondence requested.
Plans, organizes and coordinates departmental receptions, meetings or functions, obtaining assistance as necessary.
Maintains open communication lines with other departments. Acts as liaison with internal and external customers.
Meets hospital-wide standards in the following areas:
Conforms to hospital standards of performance and conduct, including those pertaining to patient rights, so that the best possible customer service and patient care is provided;
Utilizes hospital’s cultural beliefs as the basis for decision making and to support the hospital’s mission and goals.
Follows established hospital infection control and safety procedures.
Preforms other related duties as needed.
Education and Experience:
High School Diploma equivalent and at least three years’ minimum experience in a similar office setting. Competence in Microsoft Office applications.
Preferred Education and Experience:
Bachelor’s degree preferred.
Previous experience using time and attendance software preferred.
Knowledge, Skills and Abilities:
Requires strong organizational, interpersonal and communication skills.
Must effectively communicate both verbally and in writing in a highly professional manner.
Requires strong computer proficiency with Microsoft applications – Word, Access, Excel, PowerPoint; E-mail. Web/Internet. Ability and willingness to become proficient in other applications.
Flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal leadership and staff, as well as outside clients and vendors.
